About The Position

The City of Birmingham is seeking a Business Systems Specialist to monitor and support the processing of personnel transactions through an automated records and information management system. This position researches and resolves processing exceptions, ensures personnel actions comply with established policies and procedures, and maintains the integrity of employee records and system workflows. Business Systems Specialists coordinate complex personnel and payroll-related processes using specialized business systems. They work collaboratively with employees across departments to ensure the accurate and efficient processing of personnel actions while supporting the integrity and effectiveness of the City's human resources information systems.

Requirements

  • Work experience using a Human Resource Information System (HRIS) (e.g., SAP, UKG/Kronos, Lawson, Workday) to verify employee or applicant data, screen applicants, verify salary schedules, process personnel actions, or other HR related functions within said system.
  • Work experience communicating end to end business process, policies, and/or procedures to various stakeholders and end users.

Responsibilities

  • Performs periodic and scheduled audits of the city's HRIS by reviewing and reconciling personnel actions to ensure accuracy of information and compliance with the Personnel Board’s rules and regulations and operating policies and procedures.
  • Reviews personnel actions (e.g. premium requests, requests for appointments, intergovernmental transfers ) requiring Personnel Board processing by conducting research to identify potential issues and correcting and verifying submitted information to ensure appropriate documentation and approvals have been obtained prior to the processing of these actions.
  • Assists with the maintenance of the HRIS through system testing and other quality assurance practices in both testing and live system environments to ensure systems are updated and able to meet users’ needs.
  • Acts as HRIS user support by responding to inquiries related to system processes, assisting users with entering information into systems, and providing training on system use to ensure compliance with personnel action processes and procedures.
  • Performs payroll certification by generating reports and reconciling discrepancies in order to resolve any outstanding pay issues with appropriate city personnel.
