About The Position

This role, also known as Retail Recon Administrator II, involves wearing multiple hats including administrative, investigator, customer liaison, and internal business partner. The position supports the daily operations of the world’s largest wholesale auto marketplace. The individual will develop and maintain relationships with customers and external business partners, assist with retail operations from start to finish, communicate with suppliers and sublet vendors for quotes and status updates, and notify customers of vehicle updates. The role also involves coordinating and executing retail activities, maintaining daily customer vehicle trackers, inputting vehicle information into the Application System AS400 and RPP, partnering with departments to get accurate prices for retail reconditioning and create estimates, managing vehicle inventory reports, investigating errors, verifying vehicle completion eligibility, preparing and notifying customers of requests, following up on retail vehicle prep, contacting partners for missing information, balancing recon completion with the accounting team, and providing administrative/clerical support, assisting with special projects, admin support, and graphics requests.

Requirements

  • High school diploma or GED required.
  • 2+ years of administrative or general office experience.
  • Ability to multi-task and thrive in a fast-paced environment.
  • Excellent organizational, time management, and communication skills.
  • Ability to work with all management levels.
  • Strong computer skills including familiarity with Microsoft Office.
  • Ability to stand for long periods of time, view and read computer screens, perform repetitive data entry, and manual dexterity.
  • See close, distance, color variance, and depth perception.
  • Must clear a pre-employment drug test.
  • Must be authorized to work in the United States for any employer without current or future sponsorship. No OPT, CPT, STEM/OPT or visa sponsorship now or in future.

Responsibilities

  • Develop and manage relationships with internal and external business partners.

  • Partner with departments to prepare and notify of customers’ requests.
  • Follow up on retail vehicle prep, contact appropriate partners for missing info and issues to ensure smooth retail operations.
  • Communicate with the accounting team to balance recon completion.
  • Provide administrative/clerical support.
  • Assist with special projects, admin support, and graphics requests.
