About The Position

The Retail Recon Administrator II (Business Services Specialist II) role involves wearing multiple hats, including administrative tasks, investigation, customer liaison, and internal business partnership. This position supports the daily operations of the world's largest wholesale auto marketplace, developing and maintaining relationships with customers and external business partners. The role assists with retail operations from start to finish, including communicating with suppliers and sublet vendors, coordinating retail activities, maintaining customer vehicle trackers, inputting vehicle information into systems like AS400 and RPP, creating estimates for retail customers, managing inventory reports, investigating errors, verifying vehicle completion, preparing and notifying customers of requests, following up on vehicle prep, and communicating with the accounting team to balance recon completion. The role also provides administrative/clerical support and assists with special projects.

Requirements

  • High school diploma or GED required.
  • 2+ years of administrative or general office experience.
  • Ability to multi-task and thrive in a fast-paced environment.
  • Excellent organizational, time management, and communication skills.
  • Ability to work with all management levels.
  • Strong computer skills including familiarity with Microsoft Office.
  • Ability to stand for long periods of time, view and read computer screens, perform repetitive data entry, and manual dexterity.
  • See close, distance, color variance, and depth perception.
  • Must be able to clear a pre-employment drug test.
  • Must currently be authorized to work in the United States for any employer without current or future sponsorship.

Responsibilities

  • Develop and manage relationships with internal and external business partners.
  • Assist with retail operations from start to finish.
  • Communicate with suppliers and sublet vendors for quotes and status updates.
  • Notify customers of the latest news on their vehicles.
  • Assist with coordination and execution of retail activities.
  • Maintain daily customer vehicle trackers.
  • Input vital vehicle information into the Application System AS400 and RPP.
  • Team up with partners to get accurate prices for retail reconditioning and create estimates for retail customers.
  • Manage vehicle inventory reports, investigate errors, and verify vehicle completion eligibility.
  • Partner with departments to prepare and notify of customers’ requests.
  • Follow up on retail vehicle prep, contact appropriate partners for missing info and issues to ensure smooth retail operations.
  • Communicate with the accounting team to balance recon completion.
  • Provide administrative/clerical support.
  • Assist with special projects, admin support, and graphics requests.
