About The Position

Futures Unlimited is seeking a tenacious, self‑starting Business Services Assistant to support our fiscal operations and play a key role in ensuring the financial health and compliance of the agency. This position supports the Chief Financial Officer (CFO) by performing a broad range of business office, accounting, payroll, and administrative functions. The Business Services Assistant maintains accurate records, supports regulatory compliance, and assists with financial reporting and audit preparation for the agency.

Requirements

  • High School diploma or GED.
  • Minimum of six months’ experience of verifiable work experience in a business office setting.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities, deadlines, and confidential information.
  • Proficiency with Microsoft Office and business software systems.

Nice To Haves

  • Post-high school academic study with an emphasis on basic accounting principles and general ledger processes.
  • Experience in a nonprofit, human services, or HUD‑regulated environment.
  • Familiarity with Paycom or similar HR/payroll systems.
  • Experience supporting audits and regulatory reporting.

Responsibilities

  • Manage all accounts receivable functions, including invoicing, posting, and reconciliations for a variety of programs such as Medicaid and HUD.
  • Accurately and timely post routine general ledger entries as assigned and reconcile related records as appropriate.
  • Assist with cash flow management and monitoring procedures including bank reconciliation processes with accounting software.
  • Support internal and external financial reporting as assigned.
  • Assist with the annual budgeting process.
  • Maintain organized agency financial records that provide clear historical documentation and are readily accessible.
  • Process payroll for staff accurately and on schedule.
  • Reconcile and process payments for employee benefit programs, ensuring accuracy and compliance.
  • Assist with the maintenance of employee records in Paycom, ensuring confidentiality and data integrity.
  • Prepare and submit required federal and state agency reports, maintaining compliance with changing requirements and deadlines.
  • Assist with the financial administration and reporting for HUD housing projects.
  • Assume a lead role in preparing audit work papers and supporting documentation for annual, special, and HUD audits.
  • Ensure compliance with agency policies, accounting standards, and regulatory requirements.
  • Maintain agency records in a manner that supports audits, reporting, and long‑term accessibility.
  • Serve as a knowledgeable resource to internal staff regarding business office and fiscal processes.
  • Act as a business office liaison for HUD tenants including management and submission of all tenant-related paperwork.
  • Provide general business office and clerical support to the CFO as needed.
