Join our team as a Business Services Administrator with the Operations team in Calgary. The Business Services Administrator is responsible for excellence in office and business services delivery, ensuring a professional, productive, and efficient workplace. You will: Serve as the go-to resource for the Calgary office, providing strategic and operational administrative support. Take ownership of office operations, proactively identifying challenges and implementing solutions. Exercise strong judgment and diplomacy when working with leadership, employees, and external stakeholders. Ensure tasks are managed with accuracy, urgency, and attention to detail while meeting competing deadlines.

Requirements

  • 3–5 years of experience in an administrative or office management role, ideally supporting senior leaders.
  • Strong organizational, interpersonal, and communication skills with a proven ability to manage competing priorities.
  • Demonstrated ability to problem-solve, take initiative, and exercise sound judgment.
  • High degree of ownership, accountability, and professionalism.

Nice To Haves

  • Post-secondary education in Business Administration, Commerce, or a related field is an asset.

Responsibilities

  • Oversee office operations, ensuring an organized and efficient work environment.
  • Support leadership with scheduling, reporting, and coordination of priorities.
  • Manage onboarding/offboarding of employees and consultants, including IT and facilities requirements.
  • Reconcile corporate credit cards and support financial processes.
  • Apply document retention policies and ensure compliance with company standards.
  • Lead the planning and execution of meetings, events, and conferences, both on- and off-site.
  • Act as the primary point of contact for vendors, suppliers, and service providers.
  • Coordinate registrations, sponsorships, and trade show participation.
  • Drive office culture and engagement by organizing staff events, team-building activities, and CSR initiatives.
  • Take ownership of office facilities, including maintenance, security, and common areas.
  • Serve as the first point of escalation for facility-related issues and emergencies.
  • Liaise with landlords and external service providers as needed.
  • Participate in Health and Safety Committee meetings and coordinate compliance activities, including training and inspections.
