About The Position

Kaizen is looking for a Business Operations Manager to support the COO and Chief of Staff in scaling the company's operations. This role involves managing a rotating portfolio of operational and strategic projects across various functions, including financial operations, customer operations, deployment support, vertical expansion, automation, dashboards, people operations, and compliance. The goal is to build the operational infrastructure necessary for rapid growth while maintaining speed and efficiency. The position requires a proactive individual who can handle diverse projects end-to-end, integrating AI and automation by default. The work directly impacts the 40 million residents and 50+ agencies that rely on Kaizen's platform.

Requirements

  • 3 - 6 years of experience, ideally a mix of investment banking or management consulting plus operations at an early-stage or high-growth startup.
  • A track record of leading end-to-end projects across cross-functional teams, owning the plan, people, and outcome.
  • Demonstrated AI fluency shown through shipped AI-powered workflows, agents, or automations.
  • Comfort operating in ambiguity, knowing when to investigate deeply and when to conclude.
  • Sharp written communication skills and good judgment on escalation.
  • Experience with Notion, Linear, QuickBooks, Vanta, Gusto, Guideline, Slack, Intercom, and compliance/HRIS platforms like Mosey.

Nice To Haves

  • Prior experience as a Chief of Staff, Founders Associate, or BizOps lead at an early-stage startup.
  • Light technical skills such as SQL, Python, or fluency with no-code automation tools (Zapier, Make, n8n).
  • Experience leading a complex vendor or systems consolidation project, including diligence, selection, and rollout.

Responsibilities

  • Take on a rotating portfolio of operational and strategic projects, spanning financial ops, customer ops, deployment support, people ops, HR/payroll/benefits, dashboards, and more.
  • Lead diligence on new verticals and market expansions, including building business cases, scoping entry plans, and project managing launches.
  • Drive or support compliance, legal, and infrastructure workstreams to enable new customers and growth, such as security reviews, internal controls, and required certifications.
  • Support the sales team with the operational backbone of revenue, including pipeline and forecast hygiene, deal desk for complex government procurements, and leadership dashboards for revenue reviews.
  • Build AI-native tooling and automations to provide leverage to all teams at Kaizen, prioritizing systems that compound over one-off fixes.
  • Manage external vendors for tax, compliance, benefits, and software procurement, ensuring productive relationships.
  • Translate ambiguous requests into structured plans, identify collaborators, manage projects end-to-end, and execute tasks directly when efficient.
