About The Position

Our client is a rapidly scaling startup looking for a Business Operations Coordinator to serve as the operational backbone of our leadership team. This person will own a wide and constantly shifting portfolio of administrative, logistical, and operational work — and the defining trait we're hiring for is self-sufficiency. You'll frequently encounter tasks you've never done before, with no playbook and no one available to walk you through them. The right person treats that as normal: they research, experiment, make a judgment call, and get it done. This is not a role for someone who needs detailed instructions or regular check-ins to stay productive. It's a role for someone who takes a vague ask, figures out what "done" looks like, and delivers it without being chased.

Requirements

  • Independent problem-solvers. You default to figuring it out yourself — searching, testing, asking the software, reading the docs — before pulling anyone else in. When you do escalate, you come with a proposed answer, not just a question.
  • People with urgency. You move fast, close loops the same day, and don't let tasks sit in limbo waiting on someone else.
  • Tech-fluent operators. You're at home in modern web and mobile tools, pick up new software quickly, and are fully proficient across Google Workspace and Microsoft Office.
  • Organized and reliable. You're on time, you track your own commitments, and nothing falls through the cracks on your watch.
  • Strong communicators. You write clearly, keep stakeholders informed proactively, and represent the company well with vendors and partners.
  • Adaptable generalists. No task is beneath you, and no unfamiliar task intimidates you. You'd rather be trusted with a lot than boxed into a narrow lane.
  • Startup-tested. You've worked in an early-stage or high-growth startup environment before, so shifting priorities, lean teams, and wearing multiple hats feel familiar rather than chaotic.

Responsibilities

  • Absorb a broad range of day-to-day tasks and projects from the CEO so leadership can stay focused on growth.
  • Serve as the point of contact for outside service providers and operational software partners, keeping accounts current and issues resolved.
  • Guide new hires through their first days, including benefits enrollment and payroll setup, so they hit the ground running.
  • Coordinate scheduling across leadership, prepare and maintain meeting agendas, and keep follow-ups from slipping.
  • Process expense reporting and handle company purchasing.
  • Post updates to company social channels and provide hands-on logistical support for events, including local errands when the situation calls for it.
