About The Position

The Business Operations Administrator supports key operational performance, finance operations and business process initiatives across Porsche Engineering Services North America. This role sits at the intersection of process, compliance, and execution. You will contribute to budgeting, financial reporting, vendor management, and operational analytics to ensure accurate business insights and effective decision‑making. You will work closely with cross‑functional partners—including Engineering, HR, Procurement, Finance, PCNA Legal, etc. to ensure accuracy, operational efficiency, and compliance with corporate and US standards. This position also plays a critical role in supporting internal reporting cycles, identifying process improvements, and enhancing the transparency and reliability of operational data.

Requirements

  • Bachelor's degree in Business Administration, Public Administration, or related field (or equivalent experience)
  • 2–5 years of experience in operations, administration or compliance
  • Strong working knowledge of US business compliance topics (corporate governance basics, licensing, data privacy standards, etc.)
  • Familiarity with permitting processes, licensing requirements, and regulatory compliance
  • Strong organizational skills with high attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and maintain confidentiality
  • Ability and desire to participate in buildup of new operational structures
  • Comfortable interfacing with government agencies and officials
  • Must demonstrate excellence in all areas of Microsoft Suite

Nice To Haves

  • Familiarity with Power BI, or other analytics platforms.
  • Understanding of project‑based financial management and cost accounting.
  • Exposure to German business culture or German language skills.
  • Interest in operational process improvement.
  • 2-5 years of experience in executive support — engineering, automotive, or technical environment

Responsibilities

  • Manage day-to-day office and administrative operations to ensure smooth business functioning
  • Maintain and organize company records, contracts, vendor agreements, and internal documentation
  • Coordinate with internal teams (management, finance, HRBM) to support operational needs
  • Track and manage operational budgets, invoices, and expense reporting
  • Identify opportunities to improve internal processes and workflows
  • Support Finance department to ensure timely processing of invoices and payments
  • Maintain internal process documentation and standard operating procedures alongside Human Resource Business Manager
  • Support cross-functional projects by managing timelines, coordinating stakeholders, and following through until completion
  • Monitor and maintain compliance with local, state, and federal regulations relevant to business operations and building needs
  • Track licensing renewals, certifications, and regulatory deadlines for the company
  • Prepare and submit documentation for audits, inspections, or regulatory reviews
  • Maintain compliance files and ensure recordkeeping meets industry and legal standards
  • Stay current on changes to codes, ordinances, and regulations that may affect the business
  • Serve as the primary point of contact with city departments, municipal offices, and regulatory agencies
  • Prepare, submit, and track permit and license applications and renewals
  • Coordinate inspections and follow up on permit approvals or requirements
  • Build and maintain relationships with city officials and agency contacts to streamline processes
  • Research local zoning, building codes, and permitting requirements as needed for projects
  • Prepare correspondence, reports, presentations, and meeting materials
  • Coordinate and help prepare for board meetings, client meetings, and internal leadership meetings
  • Handle confidential information with discretion
  • Act as a liaison between the CEO and internal/external stakeholders
  • Assist with special projects and initiatives as directed by the CEO
