About The Position

This position will work with the SPAO Pre-Award Research and Support Office, supporting a mix of departments in the School of Medicine. The primary focus is to manage the Department/Center’s pre-award processes for all sponsored research activities. This includes managing the full application process, maintaining electronic and hard-copy filing systems, updating databases, and advising faculty, fellows, and students on the rules and regulations of various agencies such as NIH, ACS, and AHA. The role also involves providing financial and operational management information to the Director of Research Administration. The selected candidate will exercise a high level of independent decision-making authority and responsibility, working closely with the Director to maintain crucial support functions for the Administrative office and/or departments. These functions include assisting with post-award grant management, compiling detailed budgets, and regular communication with key University departments like HR, OSR, Provost, and Dean.

Requirements

  • Demonstrated ability to establish and maintain effective working relationships with staff, students, high-level officials, and faculty.
  • Operational knowledge and/or familiarity with scientific terminology.
  • Excellent command of MS Office Suite.
  • Excellent written and oral communication skills.
  • Excellent critical thinking and interpersonal skills.
  • Considerable experience with office management and administrative practices, techniques, and technology.
  • Excellent judgment and decision-making ability.
  • Proven ability to exercise discretion dealing with top-level, proprietary, and confidential information.

Nice To Haves

  • Experience with grants and contracts.
  • Ability to prepare detailed financial reports and budgets in compliance with applicable University policies and procedures and/or sponsoring agencies.
  • Extensive knowledge of university financial accounting, HR, and administrative systems.
  • Knowledge of NIH, NSF, DOD, and other awarding agency regulations and requirements, as well as RAMSeS, Connect Carolina, eRA Commons, and other related systems.
  • Certified Research Administrator (CRA) certification.

Responsibilities

  • Manage the Department/Center’s pre-award processes for all sponsored research activities.

  • Update existing databases.
  • Advise faculty, fellows, and students regarding the rules and regulations for multiple agencies (e.g., NIH, ACS, AHA).
  • Provide financial and operational management information as needed to the Director of Research Administration.
  • Assist with post-award grant management.
  • Compile detailed budgets.
  • Communicate regularly with key University departments (HR, OSR, Provost, Dean, etc.).
