Requirements

  • High school diploma or equivalent required.
  • Minimum three years of experience in health care.
  • Ability to work independently as well as function within a team.
  • Basic knowledge of surgery scheduling, receptionist, and registration responsibilities.
  • Must possess the ability to handle stress.
  • Must be flexible with hours and able to work whichever shift is to be covered.

Nice To Haves

  • Associate degree or equivalent preferred.
  • Minimum of one-year experience in surgery scheduling procedures preferred.

Responsibilities

  • Cross-train between front office positions, including Reception and Patient Registration to cover absences.
  • Lend clerical assistance to other teammates within the Business Office as needed.
  • Provide support to the facility by performing specific or various business office functions as assigned, including Medical Records, Credentialing, Admissions/Intake, Accounts Payable, Billing, Collections, Insurance Verification, Transaction Posting, Clinical Logs, and other duties as assigned.
  • Schedule surgeries in the surgery template in the computer, along with pertinent information.
  • Handle calls from physician’s offices regarding information on scheduling patients at the surgery center, scheduling surgeries, or any calls associated with surgery scheduled.
  • Answer phone in a pleasant manner and deal with physician offices and patient’s needs expeditiously.
  • Take messages and transfer calls to other departments when necessary.
  • Perform pre-registration and ensure authorization is obtained from the physician’s office prior to surgery scheduled.
  • Complete necessary paperwork for registration and use the computer system to generate information for surgical/special procedures.
  • Maintain a log for cancelled appointments.
  • Perform various clerical duties such as photocopying forms, reports, patient information, mailing surveys, preparing patient charts, faxing forms, and retrieving faxes as needed.
  • Maintain a clean and orderly surgery scheduling area.
  • Verify all scheduled cases as soon as possible.
  • Contact patients with financial responsibility immediately, inform them of the center’s payment policies, and offer payment options if necessary.
  • Clearly document all insurance verification and patient calls in the patient’s account.
