About The Position

The Business Office Manager supervises, plans, directs, and coordinates all Customer Service Associates in their daily tasks and responsibilities. This role is primarily responsible for maintaining payroll, new hire information, and other business office functions, including files, reports, basic accounting, and assisting the Executive Director/Administrator in daily activities and the overall operating function of the residence.

Requirements

  • High school diploma or GED required.
  • Prior experience in an administrative or office manager role.
  • Ability to make independent decisions when circumstances warrant.
  • Ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public.
  • Knowledgeable of laws, regulations, and guidelines pertaining to hospital and nursing facility administrative procedures.
  • Ability to plan, organize, develop, implement, and interpret programs, goals, objectives, policies, and procedures necessary for proper administrative procedures and a sound operation.
  • Working knowledge of computers, input/output/retrieval data, etc.

Nice To Haves

  • Experience with Microsoft Office, including Word, Excel, and Outlook.

Responsibilities

  • Provides direct supervision of all Customer Service Associates, including assigning daily tasks and scheduling.
  • Manages hiring, training, coaching, staffing, performance evaluations, and advancement for Customer Service Associates.
  • Acts as manager on duty, responsible for overseeing the day-to-day operations of the residence as required.
  • Maintains customer service skills in accordance with company policy and procedures.
  • Takes messages from callers and ensures their delivery.
  • Orders materials, equipment, furniture, and office supplies as approved or as a normal function of daily operation.
  • Assists the Administrator/Executive Director with the staffing process, including placing employment ads, taking applications, and checking references.
  • Assists the Sales Director with compiling information on competitor rates and services.
  • Assists in the daily operation of the residence when required by the Administrator/Executive Director.
  • Assists the Sales Director in maintaining proper inventory of marketing materials.
  • Prepares and forwards copies of administrative materials needed by the Administrator/Executive Director.
  • Processes documents for inclusion in associate files, such as new hire paperwork, change forms, and insurance selections.
