About The Position

The Lodge at Natchez Trace is seeking a detail-oriented, service-minded Business Office Manager to oversee all billing, payroll, and HR operations that support our residents and staff. This is a leadership role ideal for someone who thrives in a fast-paced, mission-driven environment combining accounting precision with a passion for people.

Requirements

  • Bachelor’s degree in Business, Accounting, HR, or related field (or equivalent experience).
  • 2+ years of progressive experience in business office management, billing, or accounting — preferably in senior living, healthcare, or hospitality.
  • Experience in payroll, HR, and benefits administration strongly preferred.
  • Strong organizational, analytical, and leadership skills.
  • Excellent interpersonal and communication abilities.
  • Proficiency in Microsoft Office and familiarity with HRIS/payroll systems.
  • Ability to maintain confidentiality, accuracy, and professionalism at all times.

Responsibilities

  • Oversee day-to-day business office operations, including resident billing, payroll, and HR functions.
  • Handle all resident billing activities — applying payments, monitoring accounts, and managing collections.
  • Maintain accurate financial records and prepare reports for leadership and regulatory audits.
  • Ensure new residents are properly registered, coded, and entered into billing systems with accurate documentation.
  • Manage payroll processing, time and attendance records, and compliance with wage/tax reporting.
  • Oversee HRIS systems and vendor relationships, ensuring timely and accurate employee data.
  • Administer employee onboarding, orientation, and ongoing training documentation.
  • Partner with HR/Payroll Administrator to coordinate benefits, leave of absence requests, and workers’ compensation claims.
  • Maintain compliance with all state, federal, and company policies, including confidentiality and labor law standards.
  • Support recruitment and retention through effective onboarding and employee engagement initiatives.
  • Track and manage staffing strategies, turnover trends, and workforce planning needs.
  • Supervise the concierge/front desk team to ensure positive experiences for residents, families, and guests.
  • Coordinate annual audits, surveys, and inspections with government agencies as required.
  • Provide financial and operational reports, make recommendations, and assist department heads with budget management.
