About The Position

Spring Arbor of Kinston is looking for an organized, detail-oriented Business Office Manager to join our leadership team! This role is responsible for coordinating and managing office and personnel functions for the Community and aiding the Executive Director (ED). The ideal candidate will have experience with accounts payable, accounts receivable, and payroll, along with strong organizational and customer service skills. Previous senior living experience is highly preferred. This is an opportunity to make an impact behind the scenes while supporting our residents, families, and team members.

Requirements

  • Must be a minimum of 18 years of age.
  • Working knowledge of and comfort with Microsoft Office programs including Word, Excel, and Outlook is required.
  • Must have a positive Criminal Background Screening.
  • Adherence to the Company Drug Free Workplace policy.

Nice To Haves

  • Previous senior living experience is highly preferred.
  • Minimum of one (1) year office-related experience preferred.
  • Must possess attention to detail, demonstrated decision making, self-motivation and teamwork skills.
  • Experience with payroll processing, accounts receivable & payable is a plus.
  • Knowledge of basic accounting principles with a minimum of one (1) year accounting experience preferred.

Responsibilities

  • Process and manage resident accounts, including posting daily payments, preparing deposits, taking deposits to the bank, and assessing monthly charges.
  • Generate resident statements and collect all fees, accounting for move-ins, move-outs, transfers, charges, and collections.
  • Process refunds and related correspondence.
  • Charge guest meals, tray service, escort services, additional laundry, and maintenance requests to resident accounts, enter rate changes, and verify accuracy of all charges.
  • Oversee guest/associate meal program, tracking cash, preparing deposits, and reconciling daily receipts.
  • Work closely with the Dining Services Director to ensure accuracy of monies collected, deposited, and coded into the computer.
  • Complete weekly and monthly reports for guest/associate meal activity.
  • Serve as the point of contact for all associate relations, including complaints, concerns, corrective action, and investigations, partnering with the Executive Director and Director Employee Relations for resolution.
  • Hire, train, schedule, supervise, and coordinate the activities of the Assistant Business Office Manager (ABOM) and Receptionist, where applicable.
  • Support all Human Resources functions if the Community does not have an HR Director.
