About The Position

The Business Office Coordinator is responsible for maintaining databases to monitor valid and useful information, running reports for contract monitoring, peer review, and staff educational compliance. This role involves maintaining disaster call trees, physician/scheduler/staff contact lists, and forms for patient care. The coordinator will also assist in preparing for committee meetings, including developing agendas, packets, and transcribing minutes. Additionally, the position assists with vendor invoices, ensuring proper coding and approvals, and maintains records of statements, invoices, and vendor payments. The role also supports the maintenance of medical records for accurate and compliant processing, ensures facility policies are followed for medical record dissemination, and forwards clinical/scheduling communication to the perioperative team. The Business Office Coordinator assists in collecting monthly statistical information and ensures compliance with all Federal, State, and regulatory requirements, including assisting with preparedness for site visits.

Requirements

  • High school diploma or equivalent
  • At least two (2) years of business office coordination of healthcare services preferred.
  • Completion of medical terminology course and knowledge of regulatory practice preferred OR equivalent combination of education & experience.

Responsibilities

  • Maintenance of databases to monitor valid and useful information.
  • Run ad-hoc, quarterly and annual reports to assist in monitoring of contracts, peer review, and staff educational compliance.
  • Monitor contracts and the required supporting documents to ensure compliance.
  • Maintain Disaster Call Trees.
  • Maintain physician, scheduler, and staff phone and/or email lists.
  • Maintenance of forms for patient care in the corresponding nursing departments.
  • Maintain documents used by physicians, nurses, and other allied healthcare personnel.
  • Coordinate with leadership, physicians, and committees regarding form changes to support best practices.
  • Coordinate approvals from physicians through QAPI, MAC, and/or the BOM meeting as appropriate.
  • Assist in preparation for all committee meetings.
  • Develop meeting agendas and packets for distribution, as applicable.
  • Coordinate catering for committee meetings, as applicable.
  • Send out attendance reminders for committee meetings, as applicable.
  • Transcribe and file/scan completed minutes and final packets from committees.
  • Assist when necessary in preparation of vendor invoices for the A/P department.
  • Match pending vendor invoices with PO and Packing/Receiving form and code for payment from the A/P dept.
  • Obtain approvals on each invoice and scan/send to accountant for payment.
  • Ensure copy of implant form, invoice, and PO are scan/sent to the billing office for all implant procedures from previous day.
  • Forward all appropriate documentation to the accountants payable.
  • Maintain records of pending statements, invoices, and vendor payments.
  • Assist in coordination and maintenance of an efficient, compliant, and productive business office practice.
  • Assist in maintenance of medical records to ensure accurate, compliant, and timely processing with respect to billing and regulatory standards.
  • Ensures facility policies and procedures are followed regarding copying and dissemination of medical records to include preparation, storage, and distribution.
  • Ensures related and pertinent clinical/scheduling communication is forwarded to perioperative team.
  • Assist in collection and delivery of monthly statistical information as applicable.
  • Abides by facility compliance policies to meet all Federal, State, and regulatory requirements for licensure, certification, and accreditation.
  • Assists in maintaining preparedness for CMS and AAAHC site visits, as assigned.
