We are looking for a Business Office Coordinator to support administrative and business office functions for the community. This role is responsible for processing, overseeing, and resolving accounts receivable, aging, and collections. The Business Office Coordinator is the primary contact for residents and families to address billing and accounts receivable questions and concerns. This role also supports Human Resources for the community as needed.

Requirements

  • 1-2 years administrative or bookkeeping experience desired.
  • Proficient in MS Office products, internet, and software programs for marketing, payroll, human resources, and accounts payable/receivable.
  • Ability to work in a fast-paced environment and prioritize, organize, and manage multiple competing priorities and projects.
  • Ability to quickly master new software applications including medical records, billing and accounts receivable, and human resources management systems.
  • Ability to follow written instructions.
  • Strong customer orientation to older adults.

Nice To Haves

  • Bachelor’s degree preferred.
  • Applicant tracking (recruiting) and Payroll experience preferred.

Responsibilities

  • Process, oversee, and resolve accounts receivable, aging, and collections.
  • Serve as the primary contact for residents and families regarding billing and accounts receivable inquiries.
  • Support Human Resources functions for the community as needed.
  • Assist with planning and executing employee engagement activities.
  • Work with Home Office Finance and Accounting departments and Human Resource Director on resident billing and accounts receivable functions, including invoicing, posting payments, tracking non-routine services, ancillary charges, and collections.
  • Manage and reconcile petty cash transactions and reimbursements.
  • Create and maintain compliant resident billing records, emergency contacts, and power of attorneys in the medical records system.
  • Process admissions and discharges within the medical records system and update resident status changes.
  • Maintain business supplies inventory and perform preventative maintenance on office machinery.
  • Create and maintain employee name badges and equipment.
  • Order and track uniforms, billing, and collection payments or deductions from employees.
  • Assist with human resource functions including acting as HR contact in HR Director's absence, assisting with applicant sourcing and recruiting, submitting resumes, assisting with job offers, pre-screen processes, onboarding, and orientation.
  • Create and maintain compliant team member files.
  • Schedule, facilitate, and oversee new employee orientations.
  • Assist with training needs of the community.
  • Assist with work-related injuries, including collecting paperwork and drug screens, and reporting to the insurance carrier.
  • Facilitate, participate in, assist with, and attend all required in-service training and education programs.
  • Serve on special projects and assignments as directed by the Executive or Human Resources Director.
  • Perform other duties as assigned.
