About The Position

Assists patients, visitors, providers and office staff in a courteous and friendly manner. Performs all duties efficiently and timely, while maintaining a positive patient flow. Serves as an office liaison when required.

Requirements

  • High School Diploma or Equivalent
  • 6 months of experience in a related field involving administrative support and customer service activities

Nice To Haves

  • Successful completion of a Medical Office Administrative Assistant certificate program (can substitute for experience)

Responsibilities

  • Maintains positive attitude and harmonious relationships with persons in other departments or outside the practice.
  • Communicates appropriately with all age groups (infant, child, adolescent, adult, geriatric).
  • Responds promptly to all patients and office staff requests.
  • Performs duties assigned by authorized personnel or as required in an emergency.
  • Handles telephone communications, including answering and transferring calls.
  • Accurately and timely relays orders and messages.
  • Schedules referrals, appointments, ancillaries, surgeries, and hospital admissions.
  • Maintains medical records, including documentation, chart structure, electronic chart maintenance, image files, faxing, and copying.
  • Manages incoming and outgoing mail.
  • Oversees office operations, including entering/verifying/correcting patient demographics and insurance information, obtaining signatures and consents, posting charges/payments, collecting payments, daily updates, deposits, maintaining cash drawer, screening and collecting unpaid balances, financial counseling, and working accounts receivable.
  • Handles precertification/authorization.
  • Operates and maintains general office equipment such as fax machines and copiers, including routine maintenance, ordering supplies, log sheets, and cleaning.
  • Participates in department orientation and annual training.
  • Maintains clerical log sheets/audits for samples and equipment.
  • Assists with coding for E&M/basic visits, office procedures/complex visits, surgeries, hospital services, correspondence, statistical reports, accounts payable, payroll.
  • Acts as a chaperone.
  • Provides support and guidance for clerical policies and procedures.
  • Performs other duties as assigned.
