About The Position

Sparta Health & Rehab is seeking a Business Office Assistant to support Human Resource activities. This role is crucial in ensuring compliance with federal, state, and local regulations and organizational guidelines. Requirements

  • Proficiency in HRIS Systems, preferably Workday, with hands-on experience in Recruiting, Core HRIS/HCMS, Time and Attendance, etc.
  • Familiarity with various HR technologies and software for recruitment and onboarding.
  • Effective skills in Microsoft Office, particularly Excel, for data analysis and reporting.
  • Knowledge of employment laws and regulations.
  • Skills in attracting, recruiting, and onboarding new employees (Candidate Sourcing, Resume/Application Review, Screening, coordinating with Hiring Managers, Onboarding Champion Program Manager, and Recruiting).
  • Ability to address employee relations, performance management, and employee concerns professionally.
  • Clear and effective communication, both written and verbal.
  • Ability to keep information strictly confidential.
  • Professionalism in grooming and attire, adhering to HR and SNS Guidelines.
  • Interpersonal skills to build rapport, manage relationships, and navigate sensitive situations with empathy.
  • Dependability, demonstrating consistent, reliable attendance and performance.
  • Organizational skills to manage paperwork, maintain records, and track HR tasks and deadlines.
  • Time management skills to prioritize tasks, manage time effectively, and meet deadlines.

Nice To Haves

  • Bachelor’s degree in Human Resources, Healthcare Administration, or a related field.

Responsibilities

  • Processes new hires, status changes, and terminations within defined timeframes.
  • Completes I-9 processing, pre-employment background checks, drug testing, and pre-employment reference checks for compliance.
  • Creates job requisitions and sources/reviews applications.
  • Verifies medical licenses and certifications as needed.
  • Processes associate absence and leave paperwork.
  • Files worker’s compensation claims and coordinates with the Leave of Absence Coordinator.
  • Attends morning meetings.
  • Assists center leadership with interpreting labor regulations, HR guidelines, and employment forms under the guidance of the Director of HR.
  • Creates and maintains personnel files in compliance with legal requirements, auditing them periodically and correcting missing or incomplete items.
  • Maintains the GCHEXs roster.
  • Facilitates general and HR orientation, and on-boarding for all new associates, coordinating with Recruiting, the Onboarding Champion Program Administrator, IT, and Hiring Manager.
  • Reports worked time and business expenses in accordance with organizational guidelines.
  • Ensures appropriate communication to facilitate prompt approvals on personnel actions.
  • Maintains associate files accurately and confidentially under the guidance and oversight of the Director of HR.
  • Answers associate inquiries regarding their time record, benefits, and/or pay.
  • Schedules and facilitates Retention Committee Meetings, and tracks progress on turnover and retention goals.
  • Assists with achieving turnover and retention goals.
  • Screens candidates as needed and attends local job fairs for recruiting when available.
  • Markets the center in the local community.
  • Reviews HR Daily Checklist, including Workday Reports.
  • Works with the Director of HR under supervision for general HR duties, such as taking notes during performance coaching, associate investigations, or other HR-related meetings.
  • Notifies the Director of HR of proposed terminations, obtains authorization, and prepares termination documents.
  • Attends termination meetings for non-supervisory workers as a witness and countersigns documents as needed.
  • Collects company property such as badges, building keys, laptops, or tablets.
  • Tracks and returns company property to appropriate parties, maintaining a record of all items.
  • Runs and issues Workday Learning Reports.
  • Promotes the image and reputation of the System by exhibiting servant leadership and providing direct and open lines of communication.
  • Contributes to the work of committees, workgroups, project management, and other collaborative efforts of the System.
  • Performs other duties as necessary to ensure the success of the System.
  • Attends terminations of supervisory personnel either in person or via Zoom with the Director of Human Resources.
