Requirements

  • Previous office management or business management experience within the landscaping, landscape construction, irrigation, or green industry
  • Hands-on experience with Aspire software
  • Strong organizational, administrative, and multitasking skills
  • Excellent communication and customer service abilities
  • Ability to work independently and effectively manage multiple priorities in a fast-paced environment

Nice To Haves

  • Spanish-speaking skills
  • Experience with payroll, billing, and job costing functions

Responsibilities

  • Manage daily office operations and administrative activities
  • Utilize Aspire software for scheduling, job tracking, estimating, billing, reporting, and workflow management
  • Coordinate communication between field crews, project managers, the General Manager, customers, and vendors
  • Process invoicing and assist with accounts receivable and accounts payable functions
  • Maintain accurate job costing, contracts, work orders, and project documentation
  • Support payroll processing and employee onboarding activities
  • Monitor office procedures and implement process improvements to increase efficiency
  • Provide exceptional customer service and timely follow-up on customer inquiries
  • Assist leadership with reporting, operational tracking, and business administration
