About The Position

Manage internal operations for CHEST Business Development Division. Primary responsibilities include: serving as a liaison across other Divisions; facilitating contract review and approval; defining the marketing needs for supported programs and ensuring programs are marketed; defining the data collection requirements and reporting needs for funded programs; developing boilerplate information that can be used in proposals and communications with external supporters; ensuring that reports are compiled and that funders and supporters receive updates on programs; formulating budgets; and tracking financial performance.

Requirements

  • At least a Bachelor’s degree and 5 years of directly relevant experience

  • Ability to adhere to CHEST's hybrid work schedule, which includes 2 days per week work-from-home, and 3 days per week onsite at CHEST headquarters in Glenview. Tuesday and Wednesday are CHEST's anchor days, and a 3rd onsite will be decided between employee and supervisor.

Responsibilities

  • Coordinate contract processing for funded programs, working with Business Development Directors, Finance, Legal, and other internal stakeholders to facilitate timely review, approval, execution, and tracking of agreements.
  • Coordinate budget development for the Business Development Division. Effectively manage and track approved budgets and coordinate reforecasting efforts within the unit.
  • Track reporting requirements and deadlines for funded programs and coordinate with internal stakeholders to ensure programmatic, outcomes, and financial data are collected, compiled, reviewed, and provided to funders in a timely manner.
  • Monitor funded-program timelines and milestones in collaboration with the Project Management Office and proactively communicate status, risks, delays, and upcoming decision points to Business Development Directors. Gather program results and metrics for supporter reporting and work cross-functionally to resolve operational issues that may affect program performance or fulfillment of deliverables.
  • Maintain visibility into the lifecycle and end dates of funded programs, proactively identifying upcoming program completions and communicating them to Business Development Directors to facilitate timely supporter engagement and exploration of renewal, continuation, expansion, or future phases of support.
  • Monitor and coordinate support and recognition statements to ensure that funders are properly recognized and that all acknowledgements follow compliance regulations.
  • Ensure marketing and sales materials, such as slide decks and other materials) are developed and maintained. Coordinate with Marketing/Communications Team as necessary on development of materials and on marketing needs for programs.
  • Coordinate cross-functionally to support the operational execution of Annual Meeting funded programs, including program requirements, enduring content, outcomes/data collection, supporter recognition, signage, marketing, and post-program reporting.
  • Build and maintain centralized tracking systems for funded programs and pipeline opportunities, including key milestones, contract status, reporting requirements, program completion dates, financial performance, and other information needed by Business Development Directors to manage the portfolio effectively.
  • Develop and maintain system for tracking performance of sales partners.
  • Complete other tasks and projects as assigned.
