About The Position

To manage, coordinate, and directly support the administrative, business management, and/or staff activities within a process/department.

Requirements

  • Associate degree or equivalent
  • 2 years of office-related experience
  • Good overall knowledge of Non-Exempt Administrative Support role skills.

Responsibilities

  • Manage, coordinate, and directly support administrative, business management, and staff activities within a process/department.
  • Serve as Accountable Property Officer, maintaining property accounting records, including acquisition and disposal of equipment, and conducting annual physical inventory.
  • Assist in budget development, monitoring income and expenditures, and reconciling accounts.
  • Coordinate accounts receivable and revenue posting, maintaining detailed accounting records.
  • Prepare financial, statistical, and annual reports, including comparative analysis reports.
  • Conduct cost studies regarding the process' charge structure/billing system.
  • Coordinate employee travel arrangements and reimbursements.
  • Process requisitions for equipment purchases.
  • Coordinate and process employee business expense reimbursements.
  • Type finished copies of correspondence and reports, and compose correspondence and memorandums.
  • Create, maintain, and manipulate databases and spreadsheets.
  • Develop and maintain office record-keeping systems, compile data for reports, and develop user-friendly reports.
  • Schedule, coordinate, and organize appointments, meetings, and rooms, including preparing notifications and agendas.
  • File process/area records, reports, correspondence, and other documents.
  • Perform miscellaneous clerical tasks such as copying, filing, faxing, and maintaining bulletin boards.
  • Sort, stamp, and distribute incoming mail and prepare outgoing mail.
  • Serve as liaison with other departments and agencies regarding administrative matters.
  • Interact with customers to resolve problems and answer questions regarding policies, procedures, and operations.
  • Provide administrative support at the executive level and ensure smooth day-to-day activities in the executive office.
  • Think independently and make decisions as necessary.
  • Coordinate personnel matters, including hiring, separation, and evaluation processes, with Human Resources.
  • Process and monitor status of personnel action forms and maintain records.
  • Serve as Key Control Officer for the Process/Department.
  • Provide new and existing staff with orientation on Performance Management Program, Personal Development Program, and Human Resources policies.
  • Coordinate and enter employee time and attendance, verifying data accuracy.
  • Verify and reconcile payroll issues and distribute employee payroll.
  • Assist in the development of area policies and procedures.
  • Serve as departmental liaison with Human Resources regarding employee disciplinary and grievance issues.
  • Initiate improvements in work process/environment and analyze/standardize procedures for efficiency.
  • Prioritize daily work assignments and contribute ideas for process improvements.
  • Support and assist in the cross-training of team members.
  • Adhere to internal controls and reporting structure.
