About The Position

King & Spalding is a leading global law firm seeking a Business Continuity (BC) and Travel Coordinator. This role will collaborate with the Director of BC, Travel and Special Projects to oversee and execute the firm’s Disaster Recovery/Business Continuity Plans. The Coordinator will be responsible for coordinating and implementing comprehensive Disaster Recovery plans to ensure support for critical business needs in the event of an emergency or disaster. This role involves assessing risks, designing recovery strategies, and collaborating with various offices and functional teams to ensure the organization is prepared for unforeseen disruptions. Additionally, the Coordinator will manage the day-to-day aspects of the Travel Department, including the online booking site and other travel projects, and assist with special projects for the firm.

Requirements

  • Bachelor's degree required
  • One to three years of experience working in a professional services environment
  • Strong written and oral communication skills, interpersonal skills, and organizational abilities
  • Must be capable of handling many tasks simultaneously and working under pressure
  • Ability to work with a high degree of independence and exercise solid judgment
  • Ability to work independently and adapt to changing priorities in a dynamic, client-service-oriented environment
  • Ability to maintain strict confidence and effective working relationships with all firm employees and 3rd party vendors

  • Prior law firm or corporate travel program experience are preferred

Responsibilities

  • Maintain and annually update business continuity and disaster recovery plans for all firm offices in partnership with Office Leads and other key stakeholders
  • Coordinate and lead annual training for Crisis Managers for all firm offices
  • Maintain the AED licenses and number of trained personnel firmwide, including keeping the AccuTrack website up to date
  • Assist Office Leads and Functional Leaders to react to and assist with any type of crisis (inclement weather, critical life safety, etc.) and coordinate firm or office support and response thereto
  • Manage the K&S Preparedness Portal, conducting monthly audits of employees who have not registered and follow up with the Office Leads to ensure compliance
  • Maintain the Crisis Leader Teams page and monthly CMT contact lists
  • Monitor the completion rate of the annual certification for all Crisis Managers on the Preparis Site
  • Work with Office Leads to maintain the Crisis Manager list for all offices
  • Lead the Disaster Recovery Business Continuity New Hire Orientation training weekly
  • Monitor news and weather daily for potential issues
  • Attend the Crisis Leader’s annual tabletop exercise; take notes, create and manage the action items lists
  • Respond to onsite emergencies (medical and other life safety issues)
  • Attend the Crisis Managers Fall Meeting before the unannounced Annual Emergency Evacuation Drill, take notes, and address emergency backpack replacement requests from Crisis Managers.
  • During the drill, coordinate with the other Crisis Managers on our floor to clear the area, use the stairs to reach the ground floor, and proceed to the safe refuge area. Afterward, gather feedback from the Crisis Managers.
