About The Position

The Business Assistant (BA) ensures the smooth performance of daily office services functions and provides administrative support for a team or location. This BA position works primarily on-site at our M Physicians Administrative Office and assists in supporting needs of the Facility Operations team and maintaining consistent services across our UMP facilities. This position is part of a larger admin support team that provides daily services at multiple facilities. The BA will cross-train in other roles to be able to provide back up support and help the team maintain daily tasks across our system.

Requirements

  • Post-secondary education (Bachelor’s or Associate’s Degree) or equivalent facilities knowledge, training and experience.
  • 2+ years of general office support or facilities management experience.
  • Excellent customer service skills and effective written and verbal communication skills.
  • Microsoft Word, Excel, and Outlook skills required.
  • Basic aptitude for machines and mechanical equipment.
  • Exhibits professionalism and willingness to learn.
  • Able to work effectively with all levels of management, external constituents, and co-workers.

Responsibilities

  • Process invoices for payment and ensure proper coding to Facilities budget categories, including monthly rent roll.
  • Research and resolve invoice issues and account balance discrepancies.
  • Manage on-site visitors and service vendors.
  • Create ID badges and access badges for employees company-wide
  • Assist with security system changes, camera monitoring, conducting audits, and providing reports for physical security at multiple locations.
  • Assist with office upkeep, including maintenance requests, office equipment, parking lot utilization, office/workspace changes, signage needs, etc.
  • Post/update materials for UMP internal website, maintain vendor contact list and shared MS Teams files.
  • Assist with supply purchasing for facility repairs, breakrooms, office supply closet, clinic needs, etc.
  • Manage incoming/outgoing mail, direct couriers and deliveries
  • Perform daily tasks required to support the needs of on-site and remote workers.
