About The Position

The Business Applications Analyst serves as a subject matter expert and professional partner to Budget, Planning and Campus Strategy, and other central administrative functions by evaluating business processes and translating operational needs into scalable, sustainable solutions. Working closely with the Director of Business Optimization & Insights, this position leads cross-functional process improvement, workflow transformation, business analysis, and data-informed continuous improvement initiatives that improve efficiency, transparency, service delivery, and decision-making across CU Anschutz. A primary near-term responsibility of this role will be supporting the University's transition of administrative workflows and automations from Smartsheet to TeamDynamix. The position will inventory existing forms, workflows, approvals, notifications, automations, integrations, reporting requirements, and business dependencies; facilitate current-state and future-state process design; identify opportunities to simplify and standardize processes before migration; and translate business requirements into sustainable TeamDynamix solutions in partnership with technical administrators, developers, and campus stakeholders. The role functions as a business-facing solution discovery and product partner. Rather than beginning with a specific technology, the incumbent will work with business process owners to define the underlying problem, measure current performance, identify root causes, redesign processes, and determine the appropriate solution path. Solutions may include TeamDynamix workflow automation, process redesign, Anaplan connected planning, analytics and visualization, data/integration engineering, artificial intelligence, or other enterprise technologies. The position applies Lean Six Sigma and related continuous-improvement methodologies, business analysis, workflow design, and analytics to establish measurable baselines and evaluate outcomes. The incumbent will develop operational metrics such as request volume, cycle time, queue time, exception rates, rework, service-level performance, automation rates, and estimated effort savings to demonstrate value realization and support ongoing improvement.

Requirements

  • Bachelor's degree from an accredited institution in Business Administration, Business Analytics, Information Systems, Finance, Human Resources, Operations Management, Industrial Engineering, Data Science, Information Technology, or a related field. Substitution: A combination of education and related technical, military, or paraprofessional experience may be substituted for a bachelor's degree on a year-for-year basis.
  • Three (3) years of professional experience in business process improvement, business analysis, workflow automation, operational analytics, enterprise systems, project/product delivery, or a related role.
  • Experience gathering and documenting business requirements and translating them into process, workflow, system, or analytical solutions.
  • Experience using data and/or analytical tools to evaluate business processes, operational performance, or technology solutions.

  • Proven ability to translate complex and ambiguous business problems into structured process analyses, requirements, solution options, and actionable recommendations.
  • Strong process-improvement mindset with the ability to distinguish between problems requiring technology and problems better solved through policy, role clarity, standardization, or process redesign.
  • Strong analytical skills and ability to use quantitative and qualitative data to identify root causes, establish performance baselines, and measure outcomes.
  • Ability to facilitate cross-functional workshops, build consensus, and navigate competing stakeholder priorities.
  • Ability to be self-sufficient in understanding and documenting business requirements and translating them into functional technology solutions.
  • Working knowledge of workflow automation concepts, including forms, routing, approvals, business rules, notifications, permissions, integrations, and reporting.
  • Ability to understand the basic workings of databases, data flows, APIs/integrations, and enterprise systems sufficiently to collaborate effectively with technical resources.

  • Master's degree and/or equivalent experience in Business Administration, Business Analytics, Information Systems, Operations Management, Industrial Engineering, Finance, Data Science, or a related discipline.
  • Lean Six Sigma Green Belt, Black Belt, or comparable continuous-improvement certification or demonstrated experience applying Lean Six Sigma methodologies.
  • Experience with TeamDynamix, ServiceNow, Smartsheet, Microsoft Power Platform, Jira Service Management, or comparable workflow, ITSM, low-code/no-code, or work-management platforms.
  • Experience supporting Finance, Human Resources, Budget/FP&A, procurement, research administration, or other complex administrative functions.
  • Experience leading technology migrations, workflow rationalization, or replacement of spreadsheet/work-management solutions with enterprise platforms.
  • Experience with process mapping tools and methodologies such as SIPOC, value-stream mapping, swimlane diagrams, root-cause analysis, or DMAIC.
  • Experience with Power BI, Tableau, SQL, Excel, or similar data analysis and visualization tools.

Responsibilities

  • Partner with central administrative units to identify, assess, and prioritize business process, workflow, and application improvement opportunities based on institutional value, complexity, risk, dependencies, and resource needs.
  • Facilitate discovery sessions, stakeholder interviews, and workshops to document business needs, pain points, controls, handoffs, dependencies, desired outcomes, and measures of success.
  • Develop current-state and future-state process maps and apply Lean Six Sigma, root-cause analysis, and continuous-improvement methods to simplify, standardize, and improve administrative processes before recommending solutions.
  • Evaluate solution options including process redesign, TeamDynamix, Anaplan, analytics, data/integration engineering, artificial intelligence, and other enterprise capabilities; develop data-substantiated recommendations that articulate expected benefits, risks, and implementation considerations.
  • Serve as a business and functional lead for the transition of administrative workflows and automations from Smartsheet to TeamDynamix, including inventory, assessment, prioritization, redesign, testing, implementation, stabilization, and lifecycle management.
  • Document existing forms, workflows, approvals, notifications, automations, integrations, reporting requirements, business rules, owners, users, and dependencies to support migration planning and sustainable application ownership.
  • Translate business requirements into functional TeamDynamix solution designs, including intake forms, routing logic, approval paths, workflow states, notifications, service-level expectations, permissions, and reporting needs.
  • Coordinate configuration support, user acceptance testing, defect and enhancement triage, deployment readiness, documentation, training inputs, post-implementation validation, backlog governance, and ongoing workflow performance improvement.
  • Serve as a liaison between administrative business units and technology teams, translating business objectives and operational requirements into clear functional requirements, user stories, acceptance criteria, process documentation, and implementation plans.
  • Support intake, prioritization, and governance of business application, workflow, and automation requests based on value, complexity, risk, dependencies, available resources, and alignment with campus priorities.
  • Coordinate cross-functional initiatives involving business process owners, ISS/UIS, Campus Strategy, data and integration resources, Anaplan, analytics, artificial intelligence, vendors, and managed-service partners as appropriate.
  • Maintain documentation for processes, solution ownership, requirements, controls, data dependencies, lifecycle responsibilities, shared capabilities, reusable solution components, change impacts, roles, and expected outcomes.
  • Analyze operational and process data to establish baselines, identify bottlenecks and trends, validate root causes, and measure the effectiveness of process, workflow, and technology improvements.
  • Develop and maintain performance measures and dashboards using tools such as Power BI, SQL, Excel, TeamDynamix reporting, or similar technologies to support operational visibility and decision-making.
  • Measure and communicate outcomes including cycle-time reduction, automation rates, workload reduction, service-level performance, quality improvements, adoption, estimated time savings, cost avoidance, and realized value.
  • Validate and reconcile data used for process analysis and reporting, prepare decision-ready analyses and presentations, and partner with Strategic Insights, the Data Analytics Collaborative, and data governance stakeholders when broader enterprise definitions or analytical capabilities are needed.
