Explore your potential and discover what your future could be with Kongsberg Defense & Aerospace, Inc. KDA Inc. is seeking a reliable Business Administrator to work in our Johnstown, PA facility. This person will be responsible for providing professional-level administrative support, frequently of a complex or confidential nature to the Johnstown site leadership staff of the KONGSBERG US organization. Provide support in the administration of special projects and the daily activities of the offices. Exercises initiative and independent judgment to organize and manage general office operations to ensure organizational effectiveness and efficiency.

Requirements

  • 5 years’ office and administrative experience
  • Intermediate skill level in Microsoft Office Suite
  • Experience in supporting multiple individuals preferred
  • Human resources experience or background beneficial
  • Strong communication skills – both written and oral
  • Ability to handle and safeguard confidential and sensitive information with discretion, exercising appropriate judgment regarding the handling, storage, and dissemination of information and ensuring it is shared only with authorized individuals
  • Excellent interpersonal skills required
  • Proficient in MS Word, MS Excel, and PowerPoint. Familiar with MS Teams
  • Ability to follow established confidentiality policy, safety standards, or applicable regulations
  • Knowledge of customer service best practices.
  • Excellent organizational skills
  • Must possess a valid driver’s license.

Nice To Haves

  • Associate’s degree in secretarial or business preferred

Responsibilities

  • Answer and screen incoming telephone calls and properly route such calls; initiate notification processes as necessary
  • Ensure all visitors go through the proper check-in process, verify necessary trainings have been completed, meet and greet visitors, occasionally act as Host to Foreign Nationals
  • Maintain software and logs for all visitor requests and Foreign National notifications
  • Take minutes at meetings, as needed, and take initiative to follow up on any assigned or pending action items.
  • Assist with coordinating internal and external meetings, conferences, professional engagements and other events, including arranging facilities and caterers, making hotel/travel arrangements for visitors, issuing information and/or invitations, coordinating agenda and speakers, and controlling meeting and event budget.
  • Coordinate travel arrangements, itineraries, passport renewals and prepare/submit expense reports for members of leadership staff, as needed.
  • Conduct research and compile data to prepare reports and summaries for special projects, or as requested.
  • Develop reports pertaining to the office administration. Prepares and/or edits business documents, presentation materials and reports as directed with limited guidance. Provide quality assessment to ensure accuracy, relevancy, compliance with standards and timeliness.
  • Order and maintain office supplies for purview office locations.
  • Work with support departments (i.e. HR, I.T., Accounting and Payroll) to establish office processes.
  • Follow up cost pertaining to vendor services, office supplies and utilities for purview offices, as appropriate. Pursue and suggest cost savings.
  • Periodically inspect the office and ensure that the equipment is in good working order and that the suite is tidy and well presented.
