About The Position

Iowa State University Logistics and Support Services is seeking a Business Administrator I to support the department's daily business operations. This position helps ensure financial transactions, inventory records, and administrative processes are completed accurately and efficiently across multiple service areas. The successful candidate will be organized, detail-oriented, and customer-focused, with the ability to manage multiple priorities and communicate effectively with vendors, campus partners, and departmental staff. This role supports the efficient delivery of services by maintaining reliable business processes, accurate records, and strong operational support.

Requirements

  • Bachelor’s degree
  • Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship. Immigration sponsorship is not available for this position.

Nice To Haves

  • Previous accounts payable experience, preferably in a retail environment
  • Inventory Management, including cycle counts
  • Proficiency in Microsoft Excel
  • Administrative Support experience

Responsibilities

  • Process and reconcile financial transactions, including purchase orders, P-card activity, invoices, and departmental billing.
  • Maintain accurate financial records, documentation, and tracking tools to support business operations and compliance.
  • Monitor financial activity, research discrepancies, and coordinate resolutions with vendors, customers, and university partners.
  • Assist with account reconciliations and the preparation of routine financial and operational reports.
  • Provide administrative support, including maintaining records, managing electronic files, and monitoring shared communication channels.
  • Support customer service functions by responding to inquiries and assisting with front-office operations.
  • Coordinate inventory cycle counts, perform inventory reconciliations, and maintain accurate inventory records.
  • Validate and analyze financial and inventory data, identify discrepancies, and assist with corrective actions.
  • Support compliance, process improvement, and operational initiatives by maintaining procedures and assisting with system and workflow enhancements.
  • Serve as back up to the Central Stores sales counter as needed.
