About The Position

The Business Administrator A serves as an essential financial and operational resource within the Department of Family Medicine and Community Health, supporting a growing and diverse portfolio of grants, philanthropy, programmatic budgets, and departmental operations. This position works in close collaboration with the Business Administrator B, Grants Manager, and senior department administrators to ensure the sound stewardship of financial resources, compliance with institutional and sponsor requirements, and day-to-day functioning of departmental business operations. The successful candidate will demonstrate strong analytical and organizational skills, an ability to manage competing priorities across multiple services, and a collaborative work style. This role provides an excellent opportunity to develop broad expertise in academic health system administration across financial management, grant administration, human resources, and resource oversight.

Requirements

  • Associate degree and 2-3 years’ experience, or an equivalent combination of education and experience required.
  • Prior experience in financial or business administration, preferably in an academic medical center, research institution, health system, or higher education environment.
  • Demonstrated proficiency in resource management, financial analysis and reporting, and expense reconciliation, strongly desired.

Responsibilities

  • Working closely with senior management to develop and administer annual operating budgets as well as ongoing management of endowments, gifts, residuals, etc.
  • Assisting the grants manager with the development of proposal preparation, including budget preparation for grant submissions.
  • Providing financial support for a set number of programs. This includes purchasing, travel and expense activity, and journal entries
  • Involvement in some aspects of payroll and onboarding/offboarding of faculty, students, and staff.
  • Assisting financial management team with creating and monitoring salary distributions for staff and faculty.
  • Coordinating facilities and IT support requests, including IT inventory.
  • Working with senior leadership when space requests/moves occur.
  • Other duties and responsibilities as assigned
