About The Position

The Building Services Specialist supports the safe, efficient, and professional operation of the Oklahoma Housing Finance Agency (OHFA) facilities. This role serves as the primary point of contact for building services and maintenance activities, coordinates vendor services, oversees facility systems and security, and provides limited accounting and administrative support related to building operations. The position plays a key role in ensuring a positive experience for employees, tenants, and visitors.

Requirements

  • Associate degree or equivalent from an accredited technical school or college
  • One to two years of facilities, building operations, or maintenance-related experience
  • Valid Oklahoma driver’s license
  • Must be bondable
  • Working knowledge of building maintenance practices and facility systems.
  • Familiarity with office and building-related technology, including computers and standard software applications (e.g., word processing, spreadsheets, accounting systems).
  • Ability to communicate clearly and professionally with diverse audiences.
  • Strong organization, record-keeping, and follow-up skills.
  • Ability to manage multiple priorities and respond effectively to service requests.
  • Demonstrated commitment to customer service and teamwork.

Responsibilities

  • Serves as the primary contact for all building-related service requests, including janitorial, HVAC, electrical, plumbing, lighting, landscaping, and emergency issues.
  • Coordinates and assists with the procurement of building services, including requesting quotes, developing scopes of work, and supporting vendor selection for services under $25,000 in collaboration with the Acquisition and Contracts Administrator.
  • Monitors building condition and grounds to ensure cleanliness, safety, and a professional appearance; proactively identifies maintenance needs.
  • Performs minor maintenance and repair tasks such as replacing light bulbs, light touch-up painting, exterior clean-up, and minor emergency clean-up as needed.
  • Coordinates, oversees, and verifies work performed by external vendors; maintains accurate maintenance and service records.
  • Maintains and supports building systems, including alarm systems, access control/security systems, and HVAC digital controls.
  • Assists in preparing the annual building operations budget, including operating expenses and capital improvements.
  • Reviews building-related invoices, obtains required approvals, and routes for timely payment.
  • Maintains inventory of building and break room supplies and other facility-related materials.
  • Provides backup support for receiving and distribution of deliveries, as needed.
  • Delivers consistent, professional, and responsive customer service to internal staff, tenants, vendors, and visitors.
  • Performs other duties as assigned to support daily agency operations.
