About The Position

The Housekeeping Supervisor is responsible for supervising housekeeping staff performing general housekeeping and cleaning duties on 1st, 2nd and/or the 3rd shift. The Housekeeping Supervisor will provide supervision and support to front line staff, to ensure compliance with university cleaning standards, sustainable cleaning practices, safe workplace practices, and applicable regulatory codes to maintain a clean and safe environment for students, faculty and staff. This role will work as a partner and in collaboration with all departments throughout the VU campus daily. About the Work Unit Facilities Maintenance & Operations at Vanderbilt University manages over $100 million in annual operating expenses and supports 400+ employees. Within this division, Campus Services is responsible for providing housekeeping, groundskeeping, and other ancillary services across 6 million square feet of academic, residential, recreational, and administrative space.

Requirements

  • High School Diploma or GED is required.
  • Valid Driver license
  • Three years of previous experience including one year of supervisor or management experience is required.
  • Strong communication skills with demonstrated competency in speaking and writing the English language.
  • Strong organization and interpersonal skills, relevant technical and functional expertise, leadership and personal effectiveness are required.
  • Strong time management, multi-tasking, quality assurance and customer relations skills are required.
  • Attention to detail, reliability, respectfulness and leads by example.
  • Demonstrated competency of Microsoft Word, Excel and Power Point is required.

Nice To Haves

  • An associate's degree is preferred.
  • Knowledge of Oracle, AiM, ReADY, Kronos is preferred.
  • Must be able to work weekends if needed.

Responsibilities

  • Responsible for the daily custodial operations execution of routine cleaning schedules for buildings and event services.
  • Supervise a custodian staff of up to 30 employees in performing safe housekeeping duties.
  • Supervise work schedules, schedule special assignments, determine efficient workflow.
  • Conduct daily team briefings.
  • Conduct weekly quality control building inspections. You will be responsible for conducting weekly quality control building inspections achieving a minimum of APPA level 2.5 inspection, subject to change at leadership discretion.
  • Inspect work in progress to ensure proper custodial work assignments and procedures are followed and utilization of time and standards are maintained.
  • Administer the custodial KPI program.
  • Administer the customer satisfaction (C-sat) program.
  • Administer personnel actions, including interviewing, hiring, performance, evaluations and improvements, disciplinary actions and terminations.
  • Review and submit payroll timely and accurately.
  • Monitor attendance and PTO usage.
  • Request and obtain approvals for overtime.
  • Administer union contract for the assigned areas.
  • Monitor team training metrics and ensure timely completion of all assigned training.
  • Respond to emergencies in a timely and professional manner.
  • Administer the Vanderbilt University summer maintenance program for housekeeping, which includes all floor care, window cleaning, blind cleaning and detailed cleaning of dormitories and academic buildings assigned and managed by the Operations Manager.
  • Administer the summer housing room turnover cleaning program.
  • Administer the summer conference and events room turnover cleaning program.
  • Administer the winter inclement weather program for coordinated pre incident preparedness, incident management, incident communication and monitoring of the event.
  • Works closely with university schools and departments to monitor custodial services requirements and performance and responds quickly to correct custodial quality and services delivery concerns.
  • Provide information to customers regarding work order status; follow up with the customer after the work is completed.
  • Respond to and address customer complaints.
  • Liaison with custodial management.
  • Collaborate with departmental partners as deemed appropriate.
  • Ensure full compliance with departmental policies and procedures
  • Responsible for the professional development of direct reports.
  • Onboard new hires and provide proper orientation to best practices and procedures
  • Train new employees in proper cleaning procedures and use of cleaning equipment.
  • Foster a positive and inclusive work environment that promotes accountability and collaboration.
  • Ensure compliance with health and safety standards.
  • Report maintenance deficiencies and generate the necessary work orders.
  • Review, monitor and close work orders when work has been completed.
  • Maintains inventory of custodial materials, equipment and supplies, requisition custodial materials, equipment and supplies to ensure adequate stock levels following established guidelines.
