About The Position

Manages daily operations of assigned facilities. Coordinates a variety of service contracts, budget preparation and administration, and purchasing. Provides exemplary customer service to meet tenants' needs.

Requirements

  • General knowledge of business and management principles involved in strategic planning, resource allocation, budgeting, human resources modeling, leadership technique, and/or coordination of people and resources.
  • General knowledge of principles and processes for providing customer and personal services.
  • General knowledge of materials, methods, and the tools involved in the construction or repair of buildings and roads.
  • General knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state, or national security operations for the protection of people, data, property, and institutions.
  • Working knowledge of economic and accounting principles and practices, banking, and the analysis and reporting of financial data.
  • Proficient skills in considering the relative costs and benefits of potential actions to choose the appropriate one.
  • Proficient skills in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
  • Proficient skills in being aware of others' reactions and understanding why they react as they do.

Responsibilities

  • Manages and oversees operations, maintenance, administration, and improvement of owned and leased properties.
  • Plans for or coordinates office services, such as equipment or supply acquisition or organization, disposal of assets, relocation, parking, maintenance, landscaping, pest control, and/or security services.
  • Monitors the facility to ensure that it remains safe, secure, and well-maintained.
  • Acts as liaisons between tenants and owners.
  • Monitors work orders to ensure quick and efficient resolution.
  • Investigates complaints, disturbances and violations and resolves problems following management rules and regulations.
  • Meets with appropriate constituents to discuss and resolve legal and environmental issues or disputes between neighbors.
  • Plans, schedules, and coordinates general maintenance, major repairs, and remodeling or construction projects for properties.
  • Inspects grounds, facilities, and equipment routinely to determine necessity of repairs or maintenance.
  • Oversees and reviews bids from contractors for repairs, renovations and maintenance, and suggests alternative courses of action if appropriate.
  • Meets with vendors to discuss management and service contracts, the financial and operational status of properties, and determine priorities.
  • Informs contract employees about the facilities and equipment; verifies contractors' assessment of problems and recommends action; evaluates caliber of services and adherence to contract specifications.
  • Prepares and administers contracts for provision of property services such as cleaning, maintenance, and security services.
  • Monitors suppliers to ensure that they efficiently and effectively provide needed goods or services within budgetary limits and in accordance with contractual terms.
  • Oversees construction and renovation projects to improve efficiency and to ensure that facilities meet environmental, health, and security standards, and comply with government regulations.
  • Oversees the maintenance and repair of machinery, equipment, and electrical and mechanical systems.
  • Oversees the purchasing of building and maintenance supplies, equipment, or furniture.
  • Implements or oversees environmental management or sustainability programs addressing issues such as recycling, conservation, or waste management.
  • Promotes and arranges for the leasing of available campus facilities to outside entities.
  • Meets with prospective tenants to show properties, explain terms of occupancy, and provide information about local areas.
  • Markets vacant space to prospective tenants through leasing agents, advertising, or other methods.
  • Prepares rental or lease agreements, specifying charges and payment procedures for use of facilities.
  • Coordinates a variety of special events; arranges for additional support services such as janitorial, security services, furniture and equipment, temporary alterations, electrical capability, and audiovisual equipment; attends functions to monitor activity and resolve problems; ensures that all property is returned and normal operating conditions are restored.
  • Determines room assignments to ensure optimum use of buildings and equipment.
  • Maintains scheduling and event calendars.
  • Maintains contact with insurance carriers, fire and police departments, and other agencies to ensure protection and compliance with codes and regulations.
  • Maintains records of rental or usage activity, special permits issued, maintenance and operating costs, or property availability.
  • Maintains all licenses, permits, and certificates required by governmental and regulatory agencies.
  • Prepares detailed budgets and financial reports for properties, including making expenditure projections, monitoring purchasing activity, and preparing reports relative to building operations.
