About The Position

Employees assigned to this position act as a liaison between the Alachua County Sheriff’s Office (ACSO) and County Facilities Management/Public Works Critical Facilities on building maintenance issues. They are responsible for creating and maintaining ACSO building keys except those issued and controlled by the Department of the Jail (DOJ). Must be familiar with proper cleaning procedures and for ensuring that an adequate amount of cleaning products and restroom supplies are on hand. They also provide back-up to Property Specialist by ordering, receiving, recording, controlling, dispersing, and disposing of a wide variety of property items. Work is performed under the general direction of the Property/Facilities Unit Manager. Performance is evaluated through observation, results obtained, and appropriate employee performance appraisals.

Requirements

  • Good working knowledge of computers
  • Current, valid Florida driver license
  • Ability to maintain supplies and equipment inventories
  • Ability to communicate effectively, both verbally and in writing
  • Ability to prioritize tasks and carry them through to completion
  • Ability to work with minimal supervision
  • Ability to maintain confidentiality and display discretion when appropriate
  • Ability to establish and maintain a good working relationship with ACSO personnel, other agencies, and the general public
  • Ability to operate a postage meter and scale or ability to learn
  • Ability to file alphabetically and numerically with a high degree of accuracy
  • Ability to notice and correct filing errors
  • Ability to maintain accurate logs and reports

Nice To Haves

  • Experience in inventory control, warehousing, or purchasing preferred
  • One (1) or more years in general maintenance preferred
  • Forklift Certification, or the ability to obtain and maintain certification at ACSO’s discretion (class will be provided)

Responsibilities

  • Maintain a record of all expendable inventory using appropriate computer systems and in accordance with agency policy and procedures
  • Initiate orders for expendable supplies and uniform items as necessary
  • Order expendable supplies in a timely manner to avoid shortages of needed items
  • Receive, unpack, and inspect supplies and equipment for compliance with ordering specifications and contact vendors regarding discrepancies
  • Store supplies and maintain the supply area in a neat and organized manner
  • Ensure that supplies are delivered to or picked up by the appropriate employee and/or Division/Bureau
  • Properly monitor usage levels of supplies and equipment to avoid over or under stocking
  • Ensure that the interiors of the ACSO buildings are clean and well maintained, and proper cleaning procedures are used
  • Order and stock cleaning and restroom supplies
  • Act as a liaison between the Sheriff’s Office and Facilities Management on building maintenance issues
  • Responsible for arranging and setting up ACSO areas for special events, including working with DOJ staff and inmate labor crews
  • Clean own work area and assist in total shop cleanliness
  • Be alert for conditions or situations which inhibit efficient operation of the agency and recommend solutions
  • Maintain accountability of all sets, kits, outfits, tools, and any other issued or accessed equipment or supplies
  • Utilize the established record keeping system to track inventory, document all repair activities, and record the issue or return of all equipment and related accessories
  • Assist other Unit and Bureau members as needed
  • Serves as backup to Property Specialist - Courier, performing designated functions as assigned, including but not limited to: Picking up and delivering packaged/boxed supplies, postal, inter-agency, and inter-office mail from the Post Office as well as various agency and county bureaus, departments, and divisions, to include the Criminal and Civil Courthouses
  • Ensuring that supplies are delivered to or picked up by the appropriate employee and/or division
  • Transporting files and cartons of agency records to and from the designated off-site storage facility, as needed
