About The Position

The Building Administrator supports the daily operations of a secure building by providing administrative, logistical, and operational support to facility management. This position is responsible for coordinating commodities and supplies, managing conference room scheduling and support, administering work orders, and assisting with building operations as directed by the Company. The Building Administrator ensures efficient facility services while maintaining compliance with all security, safety, and confidentiality requirements.

Requirements

  • High school diploma or GED required
  • Minimum of two years of administrative, facilities, or office management experience.
  • Experience using Microsoft Office Suite and computerized work order or CMMS software preferred.
  • Valid driver's license with an acceptable driving record for the previous three (3) years to be eligible under company vehicle insurance policy.
  • Must successfully complete all pre-employment requirements, which may include a criminal background check, drug screening, physical examination, fit-for-duty assessment, and hearing test.
  • Demonstrated ability to work effectively as part of a team while maintaining positive relationships with employees, customers, and clients.
  • Ability to exercise sound judgment and make effective decisions with minimal supervision.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational and multitasking abilities.
  • Knowledge of facility operations and administrative support functions.
  • Ability to coordinate multiple priorities in a fast-paced environment.

  • Applicants who do not reside near an approved testing facility are responsible for travel expenses to the nearest testing location.

Responsibilities

  • Support the day-to-day administrative and operational activities of the facility.
  • Coordinate commodities, office supplies, and operational materials to support building occupants and facility staff.
  • Schedule, prepare, and support conference rooms for meetings, training sessions, and special events.
  • Receive, process, track, and update facility work orders using the Company's computerized maintenance management system (CMMS) or other work order software.
  • Coordinate with facility maintenance personnel, contractors, vendors, and security staff to ensure timely completion of work requests.
  • Monitor work order status and communicate updates to building occupants and management.
  • Maintain facility records, reports, schedules, and operational documentation.
  • Assist with employee and contractor access coordination in accordance with security procedures.
  • Provide customer service by responding to inquiries regarding building services and facility operations.
  • Coordinate office moves, furniture requests, and workspace assignments as directed.
  • Assist with inventory management for office and facility supplies.
  • Support emergency response activities by maintaining communication and administrative documentation.
  • Ensure compliance with Company policies, security procedures, safety regulations, and confidentiality requirements.
  • Perform other administrative and operational duties as assigned.
