About The Position

The NYC Department of Environmental Protection (DEP) is seeking a Principal Administrative Associate II to serve as a Budget Coordinator within the Source Water Protection Directorate, Watershed Support Unit. This unit is responsible for implementing various partnership, regulatory, and non-regulatory programs throughout the water supply watershed. The Watershed Support Division manages an annual budget of approximately $120 million, encompassing both capital and expense funding for these programs. The Budget Coordinator will work under the direction of the Budget & Procurement Section Chief to meticulously track the Source Water Protection (SWP) expense and capital budgets. Key responsibilities include assisting in the development of annual spend plans, monitoring expenditures, aiding in capital plan updates, and submitting budget modifications as instructed. The role requires maintaining internal spreadsheets and Bureau databases, and undertaking special projects as needed. Additionally, the Budget Coordinator will oversee the quarterly operational and maintenance (O&M) payments for approximately 80 wastewater treatment plants.

Requirements

  • A baccalaureate degree from an accredited college and two years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
  • An associate degree or 60 semester credits from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
  • A four-year high school diploma or its educational equivalent approved by a state’s department of education or a recognized accrediting organization and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above; or
  • Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3 year.

Responsibilities

  • Track the expense budget against the annual spend plan.
  • Reconcile the expense budget against the Bureau database on a frequent basis and resolve discrepancies.
  • Update applicable tracking spreadsheets and save all documents to the correct digital locations.
  • Produce ad hoc budget and spending reports as requested.
  • Track the capital budget plans and capital spending of the Upstate Real Property Services section.
  • Manage 80 purchase orders for the wastewater treatment plant Operational and Maintenance (O&M) payments.
