About The Position

This is an entry-level para-professional budget support position. Incumbents are responsible for performing a variety of routine budget-related administrative tasks in support of professional-level budget analysts. Work involves assisting with routine and detailed clerical, non-technical, and research-oriented tasks, often related to the collection of data, processing source documents, and data reports specific to the preparation and monitoring of the budget. Employees in this position typically perform repetitive transactions and daily system maintenance, conducting the audit review of budget materials, reports, and records to verify the accuracy and validity of figures and calculations adhering to prescribed budget procedures, rules, and regulations associated with routine fiscal transactions for the budget department. Independent judgment is exercised when routine matters or clearly defined policies are involved. The incumbent would assist higher-level budget personnel with a review of budget requests, processing of amendments, budget development, journal entries, and data reports. Work is performed under close supervision and is evaluated in terms of timeliness and accuracy.

Requirements

  • High School Diploma or G.E.D.
  • 30 semester credit hours from an accredited college or university towards an Associate’s Degree with coursework in Accounting and Financial Management.
  • One (1) year of experience providing paraprofessional support to an accounting or budget office performing budgetary or financial recordkeeping.
  • An equivalent combination of education, experience and training which provides the required knowledge, skills and abilities may be considered.

Responsibilities

  • Assist in the preparation of annual operating and grant budgets by gathering historical and current financial data.
  • Maintain budget tracking spreadsheets to monitor allocations, expenditures, and available balances.
  • Prepare supporting documentation for budget adjustments, amendments, and transfers.
  • Assist in compiling financial data for monthly, quarterly, and annual reports as needed.
  • File and maintain budget documents and supporting records for easy retrieval.
  • Assist in processing payment requests in accordance with established procedures.
  • Verify account coding and funding information based on supervisor instructions.
  • Track the status of procurement requests and follow up as needed.
  • Maintain organized procurement files and documentation.
  • Assist in preparing and routing personnel action documents for review and approval.
  • Maintain personnel-related records and ensure documentation is complete and up to date.
  • Support timekeeping processes by collecting and reviewing time sheets for completeness.
