About The Position

The global Branding & Communications team is responsible for crafting and executing branding, marketing, and communications strategies for Millennium. As an Executive Assistant at Millennium, you will provide high-level administrative support to the Chief Communications Officer and the Brand and Communications leadership team in NYC, helping ensure the smooth running of day-to-day operations. You’ll handle a wide range of administrative and executive support tasks that enable senior leaders to stay focused on their strategic goals. This is a high-touch, fast-moving role that combines core EA responsibilities (heavy calendars, travel, expenses) with project management and event/offsite coordination. Millennium is a highly collaborative environment—no task is too small—and the right person will be proactive, discreet, and comfortable juggling shifting priorities across stakeholders and time zones. We’re looking for a collaborative team player who thrives in a fast-paced environment, takes initiative, and is comfortable supporting a wide range of priorities as needed. This person will also be viewed as a team ambassador and a key collaborative force within the group.

Requirements

  • 4+ years of experience supporting senior leaders in a fast-paced environment
  • Must be able to work onsite 5 days per week in NYC
  • Experience working in a fast-paced and dynamic environment, preferably in financial services and/or a communications-focused organization
  • Strong organizational and communication skills (written and verbal)
  • High attention to detail; sound judgment and discretion with confidential matters
  • Ability to multi-task, prioritize, and meet tight deadlines
  • Self-directed and proactive; able to work independently
  • Proficient in Outlook, Word, and Excel; ability to integrate AI into workflows is a plus

Responsibilities

  • Manage heavy and constantly changing calendars across time zones for the Chief Communications Officer, and provide calendar support to other senior leaders on the team; able to keep pace as priorities shift and schedules change frequently
  • Serve as a front-facing point of contact for the Branding and Communications department, communicating with internal and external stakeholders; screen telephone calls, inquiries, and requests while always maintaining confidentiality
  • Coordinate regular team meetings and handle day-to-day ad hoc needs for the team and senior stakeholders
  • Support the team’s working environment as needed (e.g., light tech troubleshooting, meeting room setup)
  • Book all travel arrangements for senior team members, including after-hours support for travel issues as needed
  • Prepare and process invoices, travel, and expense reports
  • Connect day-to-day logistics to broader team goals, understanding how meetings, priorities, and relationships fit into the team’s ecosystem
  • Support project management for selected team initiatives, including preparing documents and decks for executive review and tracking logistics
  • Coordinate off-site team activities, including travel and logistically complex arrangements
  • Act as a connector, team ambassador, and culture carrier—build strong relationships with other EAs and key stakeholders to ensure the team operates smoothly, support team events and culture initiatives, and be a flexible team member who can jump in wherever needed
