About The Position

The Part-Time Administrative Bookkeeper provides essential support with financial record-keeping and general administrative tasks. This role ensures accurate bookkeeping, smooth office operations, and timely handling of routine business activities. The ideal candidate is detail-oriented, organized, and able to work independently in a small to mid-sized business environment.

Requirements

  • High school diploma required; associate degree or bookkeeping certification preferred.
  • 1–3 years of bookkeeping or accounting experience (QuickBooks or similar software preferred).
  • Experience with accounts payable/receivable and basic financial reconciliation.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer-service skills.
  • Ability to manage time effectively and work independently.
  • Proficiency with Microsoft Office (Word, Excel) and general office technology.
  • Accuracy & Attention to Detail – Ensures financial data and admin tasks are completed correctly.
  • Time Management – Manages part-time workload efficiently and meets deadlines.
  • Confidentiality – Handles financial and personal information responsibly.
  • Problem-Solving – Identifies issues and offers practical solutions.
  • Professional Communication – Interacts clearly with staff, vendors, and customers.

Responsibilities

  • Record and maintain accurate financial transactions in accounting software.
  • Process accounts payable and accounts receivable.
  • Reconcile bank statements, credit card statements, and vendor accounts.
  • Prepare invoices, collect payments, and follow up on outstanding balances.
  • Assist with payroll processing and employee expense reimbursements.
  • Prepare basic financial reports for management (monthly, quarterly, or as needed).
  • Maintain organized digital and physical financial records.
  • Answer phones, respond to emails, and manage general office communication.
  • Organize and maintain files, records, and documentation.
  • Assist with scheduling, calendars, and meeting coordination.
  • Support supply ordering, vendor communication, and office operations.
  • Prepare basic correspondence, forms, and internal documents.
  • Provide general support to the management team and staff.
  • Ensure financial records comply with company policies and basic accounting standards.
  • Maintain confidentiality of sensitive financial and business information.
  • Assist with preparation for tax filings, audits, and year-end reporting.
