About The Position

The Bookkeeper position at The Beach House Maui is responsible for financial reporting and daily sales support, as well as office and administrative support. This role involves reconciling daily sales, labor, and other financial activities, entering data into accounting software, and maintaining accurate records. Additionally, the bookkeeper will assist with new employee onboarding, vendor invoice processing, and general office duties such as answering phones, managing mail, and maintaining office supplies. The position also requires supporting compliance with recordkeeping policies and assisting the office staff with various administrative tasks and projects to ensure smooth store-level and company-wide operations.

Responsibilities

  • Reconcile daily sales, labor, service charges, and tip pool activity, including preparation of cash, credit card, and gift card deposits.
  • Review service checkouts, comps, voids, discounts, and vouchers, including Manager Promo tracking.
  • Prepare and handoff cash deposits on courier days, and issue and reconcile daily banks in line with company procedures.
  • Record and maintain all daily sales report imports, payments, and receivables in accounting software in a timely manner.
  • Communicate daily discrepancies through appropriate systems such as a communication log.
  • Enter daily sales and labor data into reporting systems and assist in preparing reports as needed.
  • Maintain accurate records of daily sales, deposits, and payroll documentation.
  • Enter new employees into all applicable systems (Paycom, Aloha, HotSchedules) as directed by the Office Manager and HR Coordinator.
  • Enter vendor invoices and credits promptly and accurately in the accounting system.
  • Assist in weekly check runs as needed.
  • Provide general office support including answering phones and emails, directing calls, taking messages, answering general guest questions or making reservations, disseminating or explaining information, checking mail, maintaining office supplies, organizing office space, and training new employees as needed.
  • Assist with equipment operations and troubleshooting problems involving office equipment, such as computers, internet, phone, printers/copying machine.
  • Audit and correct timekeeping records.
  • Support compliance with recordkeeping policies to ensure documentation is complete and organized.
  • Assist Office Manager, HR Coordinator, and Support Office with various administrative tasks and projects as needed.
  • Assist in ensuring the restaurant remains in compliance with recordkeeping requirements, including timely completion and storage of Daily Sales and Labor Reports, employee timekeeping card backups, daily checkouts, and payroll documentation, and vendor invoices.
  • Work with the rest of the office staff to ensure office organization and cleanliness.
  • Report for work on time and uphold expectations for attendance, uniform, and professional conduct.
  • Maintain confidentiality and protect access to sensitive information, including company data, employee records, and customer details, by following all protocols and preventing unauthorized access or disclosure.
  • Successfully assist in completing and passing all components of the company’s bi-annual audit.
  • Perform other duties as assigned.
