About The Position

The Boat Business Assistant provides clerical support for all boat, motor, trailer, or ATV customer purchases in the Boat Department or at a Boat Dealership. This role supports a strong commitment to world-class customer service and ensures a pleasant and productive shopping experience for all customers. The assistant helps the Business/Sales Manager or Boat Manager in selling finance and insurance programs to increase dealer revenues, coordinates all paperwork involved in the sale process, accounts for all monies received, and performs closing activities at the end of the day. They are responsible for data entry into IDS, organizing and processing MSOs, answering multi-line phones, maintaining office supplies, completing and filing title work, preparing check requests, and registering products sold within manufacturer’s specified timeframe requirements. Other clerical tasks such as sending faxes and maintaining customer files are also part of the duties.

Requirements

  • High School education or equivalent experience
  • Must be at least 21 years old
  • Ability to calculate figures, make change to customers and figure percentages
  • Ability to communicate in a friendly and professional manner to customers and other associates
  • Clerical / data entry skills preferably within the marine or auto industry
  • Good organizational abilities
  • Detail oriented

Responsibilities

  • Provide clerical support for all boat, motor, trailer, or ATV customer purchases.
  • Support world-class customer service and ensure a pleasant and productive shopping experience.
  • Assist in selling finance and insurance programs to increase dealer revenues.
  • Conduct or assist in customer closings and funding activities.
  • Coordinate all paperwork involved in the sale process, including creating and finalizing quotes, printing closing documents, entering customer deposits, and maintaining logs.
  • Account for all monies received in the department and ensure their safekeeping.
  • Perform closing activities at the end of the day, including till reconciliation, batch detail reports, Daily Cash Reports, and bank deposit slip preparation.
  • Complete data entry into IDS of all activities associated with the sale.
  • Accurately post all deals within 24 hours of delivery.
  • Organize and process MSOs, including entering receipt into IDS, safeguarding documents, maintaining a filing system, and completing affidavits for duplicate MSOs.
  • Answer multi-line phones in a timely, professional, and courteous manner.
  • Direct inbound calls to the appropriate associate or department and take accurate messages.
  • Maintain adequate inventory of office supplies, including state/local title and registration paperwork, and order supplies on a timely basis.
  • Complete and file all required title work and associated documentation.
  • Prepare check requests as needed.
  • Maintain all documentation from various manufacturers and warranty register all products sold within manufacturer’s specified timeframe requirements.
  • Perform other clerical tasks as required, including sending faxes, file preparation, and maintenance of customer files.
