About The Position

The Boat Business Assistant provides clerical support for all boat, motor, trailer, or ATV customer purchases within the Boat Department or at a Boat Dealership. This role supports a strong commitment to world-class customer service, ensuring a pleasant and productive shopping experience. The assistant helps the Business/Sales Manager (or Boat Manager in their absence) in selling finance and insurance programs to increase dealer revenues. They coordinate all paperwork involved in the sale process, including creating and finalizing quotes, printing closing documents, entering customer deposits, and maintaining sales, finance, and commission logs. The position is responsible for accounting for all monies received and ensuring their safekeeping, performing end-of-day closing activities such as till reconciliation, batch detail reports, and bank deposit preparation. Data entry into the IDS system for all sale-associated activities is crucial, with all deals needing to be posted accurately within 24 hours of delivery. The role also involves organizing and processing MSOs, including entering their receipt into IDS, safeguarding these documents, maintaining an organized filing system, and completing affidavits for duplicate MSOs. Additionally, the Boat Business Assistant answers a multi-line phone system professionally, directs calls, and takes messages. They maintain adequate office and title/registration paperwork supplies, prepare check requests, and register products with manufacturers within specified timeframes. Other clerical tasks, including faxing and file maintenance, are also part of the duties.

Requirements

  • High School education or equivalent experience
  • Must be at least 21 years old
  • Ability to calculate figures, make change, and figure percentages
  • Ability to communicate in a friendly and professional manner
  • Clerical / data entry skills
  • Good organizational abilities
  • Detail oriented

  • Direct inbound calls to the appropriate associate or department and take accurate messages.
  • Maintain adequate inventory of office supplies, including state/local title and registration paperwork.
  • Complete and file all required title work and associated documentation.
  • Prepare check requests as needed.
  • Maintain documentation from manufacturers and warranty register all products sold.
  • Perform other clerical tasks as required, including sending faxes and file preparation.
