About The Position

Arcora Foundation is dedicated to improving health equity by partnering with communities to prevent oral disease, transform health systems and increase access to dental care. The Board Operations Liaison role serves as the primary liaison to the Foundation’s Board of Trustees, operating with a high degree of autonomy and discretion. This role owns the end-to-end planning and execution of Board operations and logistics, making decisions regarding processes, timelines, and coordination to ensure effective governance and alignment with organizational priorities. The position directly advances the Foundation’s mission by strengthening board engagement, cultivating strong relationships with trustees and leadership, managing highly sensitive information with integrity, and driving the effectiveness and consistency of the Foundation’s governance systems and practices.

Requirements

  • Seven to ten years of increasingly responsible experience operating as a trusted partner to senior executives
  • Three or more years of complex project management, including special events
  • Two or more years supporting board operations that includes board meeting management, stakeholder liaison, expense tracking while maintaining utmost confidentiality and strategic awareness
  • Strong attention to detail and commitment to quality control, ensuring accuracy, consistency, and high-quality work across tasks and deliverables
  • Exceptional verbal and written communication, including an ability to listen deeply and authentically
  • Strong relationship-building skills with board members, leadership and community members across multiple dimensions of diversity.
  • Proven ability to manage multiple projects and priorities in a fast-paced, team-based environment
  • Strong problem-solving and analytical skills, including the ability to listen, assess situations, identify causes, gather and process relevant information, and generate solutions or process improvements
  • Proficiency in Microsoft Office Suite, Boardvantage, Zoom, MS Teams, DocuSign, Adobe Acrobat, and CRM systems
  • Demonstrated ability to thrive in ambiguous situations and adapt to evolving priorities

Responsibilities

  • Supports the President & CEO of Arcora Foundation by strategically managing their schedule, preparing them for meetings, and providing high-level executive operations support including travel planning and expense reporting.
  • Reviews and approves invoices and expense reports as a delegate for the President & CEO, monitors spending trends, and provides reports on budget performance.
  • Prepares and edits content for documents, presentations, and correspondence.
  • Coordinates sensitive issues, building trust with the President & CEO, Vice President, staff, and external partners.
  • Coordinates projects, speaking engagements, and events, creating or improving processes as needed.
  • Partners with the executive support team to align priorities and ensure efficient execution of the President & CEO's work.
  • Serves as the primary liaison for the Foundation’s Board of Trustees, ensuring effective governance aligned with the CEO’s priorities and the Foundation’s goals.
  • Provides strategic oversight and operational leadership in board operations support, including refining Board development processes, managing annual evaluations, and tracking board member terms.
  • Applies the Foundation’s strategic objectives to the design and prioritization of board workflows.
  • Serves as the central coordinating authority for Executive Team operations, ensuring alignment and follow-through on shared priorities.
  • Plans, schedules, prepares/distributes materials, manages logistics, and takes/transcribes minutes for various board meetings and events, including new trustee orientation, board meetings, board retreats, committee meetings, and CEO/Board Chair check-ins.
  • Holds functional accountability for the accuracy, completeness, and timely maintenance of governance and compliance processes and documentation.
  • Maintains and updates governance records (bylaws, policies, Trustee documentation) to ensure compliance.
  • Manages and organizes sensitive Foundation board documents and records, ensuring secure access and archiving.
  • Supports Trustee recruitment and onboarding through due diligence, maintaining recruitment matrices, and updating orientation materials.
  • Leads the design and implementation of annual Board orientation and development initiatives.
  • Oversees financial stewardship of Board-related expenses, including forecasting, monitoring trends, and escalating risks or variances.
  • Coordinates Trustee travel arrangements and ensures timely, accurate expense reporting.
