About The Position

The Exact Sciences Biorepository team enables the execution of clinical trials and research initiatives by delivering high-quality services across the sample management lifecycle. The Biorepository Sample Sourcing Specialist works closely with Biorepository leadership, research and development, evidence program managers, cross-functional support teams, and other key stakeholders to provide high-quality samples through excellent coordination and communication. This is an onsite position at our Madison, WI location.

Requirements

  • Bachelor’s degree in Biological Sciences or a related field as outlined in the essential duties; or Associate’s degree in Biological Sciences or related field as outlined in the essential duties and 2 years of relevant experience in lieu of a Bachelor’s degree; or High School Diploma or General Education Degree (GED) and 4 years of relevant experience as outlined in the essential duties in lieu of a Bachelor’s degree.
  • 2+ years of progressively responsible job-related experience in laboratory, clinical research, IT, regulatory, or related function with stakeholder management.
  • Understanding of different sample types and relevant data elements that characterize a sample as fit-for-purpose for downstream utility.
  • Proficient with the Microsoft Office Suite, notably Word, Excel, PowerPoint, Visio, and Project.
  • Authorization to work in the United States without sponsorship.
  • Demonstrated ability to perform the essential duties of the position with or without accommodation.
  • Strong attention to detail.
  • Excellent communication and interpersonal skills to collaborate with internal and external stakeholders.

Nice To Haves

  • Bachelor’s degree in Biological Sciences or field as outlined in the essential duties.
  • Experience in a laboratory or biorepository setting collecting, processing, and/or coordinating samples.
  • Experience in human sample procurement.
  • Understanding of Good Clinical Practice (GCP) guidelines.
  • Experience in a customer-facing service role.
  • Knowledge of sample management operations including laboratory information management systems (LIMS), barcoding, sample processing, management, storage, and retrieval.

Responsibilities

  • Build and maintain positive relationships with internal customers, external partners, and cross-functional stakeholders.
  • Support identification and outreach activities with external biobanks, networks, research institutions, industry vendors, and other sample providers that can supply Exact Sciences high-quality, well-characterized samples.
  • Support sample provider evaluation and qualification activities via established processes.
  • Establish project-specific agreements with sample providers to fulfill sample needs.
  • Maintain up-to-date sample provider information.
  • Intake sample sourcing requests of low/moderate complexity, document customer requirements, identify appropriate sample providers, and fulfill requests by ensuring timely, accurate delivery of information and project deliverables to stakeholders.
  • Develop and oversee the implementation of project-specific sample sourcing plans including supply distribution, collection, processing, shipping, storage, retrieval, intra-site logistics, and data management.
  • Document operational workflows by authoring work instructions and process diagrams.
  • Execute established sample purchase order and invoicing processes.
  • Review samples and data for quality, completeness, and accuracy; work with appropriate stakeholders to resolve issues.
  • Adapt to rapid changes in priorities, display strong sense of urgency, and identify ways to work together to achieve results needed for all requests per defined deadlines.
  • Ensure on-time delivery of all assigned duties.
