About The Position

The Billing Specialist is responsible for generating accurate and timely invoices for fuel delivery operations. This role ensures all billing aligns with customer contracts, fuel pricing structures, taxes, and delivery documentation. The position requires strong attention to detail, knowledge of transportation logistics, and the ability to reconcile discrepancies efficiently.

Requirements

High school diploma or equivalent required
2+ years of billing or invoicing experience (transportation or fuel industry strongly preferred)
Familiarity with fuel pricing structures, including rack pricing and contract pricing
Proficiency in accounting software and Microsoft Excel
Strong analytical and problem-solving skills
Excellent attention to detail and organizational skills
Ability to manage high-volume transactions in a fast-paced environment

Nice To Haves

Associate’s degree in Accounting or related field preferred
Knowledge of fuel taxes (IFTA, state excise taxes) is a plus

Responsibilities

Prepare and process daily, weekly, and monthly invoices for fuel deliveries
Review Bills of Lading (BOLs), delivery tickets, and dispatch logs for accuracy
Verify fuel pricing, taxes, and surcharges based on contracts and market rates
Ensure correct application of state and federal fuel taxes and fees
Reconcile discrepancies between dispatch records, driver logs, and customer accounts
Communicate with dispatch, drivers, and customers to resolve billing issues
Maintain accurate customer billing profiles, pricing agreements, and tax exemptions
Process adjustments, credits, and rebills as necessary
Assist with month-end close, including revenue reporting and account reconciliation
Support audits by providing documentation and billing records
Ensure compliance with company policies and regulatory requirements
