They are seeking a highly analytical, organized, and detail-oriented Billing Data Entry Specialist to join their team in a remote, part-time capacity. This role will support the Department for the Aging (DFTA) Home Delivered Meals Program by accurately entering, maintaining, and auditing high-volume billing and financial data. The ideal candidate is a self-motivated professional with exceptional attention to detail, strong analytical and mathematical skills, and advanced proficiency in Microsoft Excel. This individual must be able to work independently in a remote environment, manage multiple priorities, and maintain the highest standards of accuracy, confidentiality, and compliance.

Requirements

  • High school diploma or equivalent required
  • Minimum of 1–2 years of experience in billing, data entry, bookkeeping, accounting support, or a related administrative role.
  • Advanced proficiency in Microsoft Excel is required, including Pivot Tables, SUMIFS, VLOOKUP/XLOOKUP, sorting, filtering, conditional formatting, and data validation.
  • Proficiency in Microsoft Office Suite, Google Sheets, and database management systems.
  • Ability to type a minimum of 45–50 words per minute with a high degree of accuracy.
  • Strong mathematical, analytical, and problem-solving skills with the ability to identify and resolve billing discrepancies.
  • Exceptional attention to detail, organizational skills, and the ability to manage multiple priorities while meeting deadlines.
  • Excellent verbal and written communication skills, with the ability to collaborate effectively across departments.
  • Demonstrated ability to maintain the confidentiality of sensitive financial, participant, and organizational information.
  • Self-motivated, dependable, and able to work independently as well as collaboratively in a fast-paced environment.
  • Must be able to provide valid documentation that you are legally eligible to work in the United States.

Nice To Haves

  • Coursework in Accounting, Finance, Business Administration, or a related field is preferred.
  • Experience processing invoices, financial records, or government-funded program billing is preferred.
  • Experience working with accounting, billing, ERP, or financial management software is preferred.

Responsibilities

  • Accurately enter high-volume billing, invoice, payment, and program-related financial data into the company’s database on a daily basis.
  • Ensure timely and accurate processing of billing information for the DFTA Home Delivered Meals Program.
  • Review, verify, and reconcile billing information to ensure accuracy, completeness, and compliance with DFTA contractual requirements and internal policies.
  • Assist with invoice tracking, payment reconciliation, and account documentation.
  • Utilize advanced Microsoft Excel functions, including Pivot Tables, SUMIFS, VLOOKUP/XLOOKUP, and other formulas to organize, analyze, and validate billing and program data.
  • Generate reports, spreadsheets, dashboards, and financial summaries to support billing, reimbursement, program tracking, and operational decision-making.
  • Audit meal delivery records, invoices, and supporting documentation to ensure compliance with DFTA regulations, contractual guidelines, and organizational standards.
  • Maintain organized digital records and supporting documentation for audits, contract compliance, and financial reporting.
  • Identify, investigate, and resolve billing discrepancies, data inconsistencies, and entry errors prior to final processing.
  • Communicate with internal departments to obtain missing information and ensure accurate billing records.
  • Work closely with program staff, finance, and operations teams to support timely billing, reporting, and reimbursement activities.
  • Respond professionally to internal billing inquiries and provide administrative support as needed.
  • Safeguard confidential financial, participant, and organizational information in accordance with company policies and applicable privacy regulations.
  • Maintain accurate electronic filing systems and ensure proper record retention.
  • Perform other administrative, billing, and data entry duties as assigned to support the successful operation of the DFTA Home Delivered Meals Program.
