About The Position

The Start-up and Billing Coordinator functions as the primary person responsible for creating start-up calls, monitoring warranty claims and filing claims in the Trane systems. Serves as the primary interface between new equipment sales, contractors/customers and the service department. Compiles data and prepares invoices and bills by performing the following duties.

Requirements

  • Bachelors degree (BA) from four-year college; or five years related experience and/or training; or equivalent combination of education and experience.
  • Must have good communication and interpersonal skills.
  • Excellent organizational skills, time management, and attention to detail.

Responsibilities

  • Responsible for creating start-up service calls including creation of locations, loading of equipment, updating warranty dates within our Enterprise Resource Planning System (ERP)
  • Responsible for working with the service coordinator to create and track warranty service calls
  • Responsible for closing all start-up and warranty service calls
  • Responsible for filing claims in Trane systems
  • Responsible for tracking all purchase orders, labor hours and other costs associated with start-up and warranty service calls
  • When issues arise, this role will be responsible for researching all purchase orders, material returns, material credits, labor hours and other costs.
  • This role will interact with resource coordinators, purchasing, field service engineers, service sales engineers or assistants and new equipment sales engineers or assistants and review questions and/or problems as required.
  • Verify billing information, PO number and call description. Update/enter/correct resolution as needed. Check hours and rate type.
  • Ensure all information is correct before invoicing and filing claims
  • Informs appropriate individuals of status and disposition of customer claims. For concession claims, work with the factory and Concession Functional Leader for approval.
  • Review and submit recommended hours for equipment start-up. Send proposal to requestor.
  • Monitor Trane Hub and Falcon system for updates on any warranty or start-up procedures.
