About The Position

The Billing Administrator is directly responsible for performing data entry, centralized invoice preparation, and related duties. This includes consolidated invoicing, contract-specific invoicing, and invoicing submission through submission portals. Other responsibilities include computing costs and calculating rates for goods, services, and shipment of goods; posting data; and keeping other relevant records.

Requirements

  • High School Diploma required.
  • 3+ years’ experience in a Billing role.

Nice To Haves

  • Post-Secondary Diploma in Accounting, Finance, or Business Administration preferred.

Responsibilities

  • Compile data, compute fees, and prepare invoices for billing purposes.
  • Process inventory receipts, inventory transfers, and reconciliations
  • Compile data supporting documents to verify the accuracy of billing data and to ensure receipt of the product ordered.
  • Compare invoices against purchase orders and shipping and receiving documents to verify receipt of items ordered.
  • Assist in the preparation of special invoices, such as consolidated invoices and contract-specific invoicing.
  • Create and customize Excel-formatted reports on customer usage and spending.
  • Comply with billing and accounting deadlines.
  • Investigate and resolve billing discrepancies.
  • Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners.
  • Respond to phone, e-mail, and in-person inquiries from clients, business partners, and other parties.
  • Send out invoices to customers and/or submit via online submission portals.
  • Other related duties as required or assigned.
