The Staffing Coordinator will play a crucial role in managing the staffing needs of our organization. The primary responsibilities will include a high volume of inbound/outbound calls and texts, prescreening job candidates, scheduling job counseling sessions, and assisting with various office tasks. This role will also involve maintaining accurate candidate records, coordinating interviews with recruiters, thoroughly conducting job counseling sessions, and completing candidate’s onboarding process the WorkSmart Way. This position requires excellent communication skills, attention to detail, and the ability to work in a fast-paced environment. This role operates with clear performance expectations aligned with company KPIs and individual agreements that reflect strategic goals and local branch needs.

Responsibilities

  • Proactively source qualified candidates from the ATS and external job boards
  • Reach out to potential candidates via phone, text, or email to initiate the screening process
  • Meet or exceed outbound communication targets (calls/texts) to ensure a steady candidate pipeline
  • Screen applicants to assess basic qualifications, interest, and availability
  • Schedule job counseling sessions and interviews with appropriate internal staff
  • Conduct initial onboarding, ensuring all forms are properly completed and submitted
  • Perform drug screens in alignment with company policy and compliance standards
  • Partner closely with the Front Office Onboarding Coordinator to ensure a smooth, efficient, and positive candidate experience
  • Answer phones courteously and provide support to walk-in candidates or callers as needed
  • Complete background checks in alignment with company policy and follow escalation procedure
  • Maintain accurate and up-to-date candidate records within internal systems
  • Assist with general office tasks and support additional staffing or recruiting initiatives as assigned
  • Maintain and audit document adherence on a daily basis
  • Carry out all responsibilities in alignment with company values, processes, and performance expectations
