About The Position

This role involves providing specialized and/or technical program-specific information to internal and/or external customers. The position requires interpreting established policies and procedures, and may involve handling sensitive or volatile situations. Key duties include establishing, maintaining, and retrieving information from various sources, including legal files and databases, and performing data entry and verification. The specialist will also interview customers to gather documentation and identify service needs, perform calculations, and manage supplies. Composing, drafting, typing, proofreading, and editing legal documents and correspondence are essential, ensuring accuracy and adherence to procedures. Processing mail and legal documents within court-mandated deadlines, identifying priority matters, and maintaining security and confidentiality are critical. The role may also involve scheduling meetings and maintaining calendars for supervisors. A strong understanding of legal and regulatory requirements for document formatting and content is necessary.

Requirements

  • Must be 21 years of age

Responsibilities

  • Provide specialized and/or technical program-specific information to internal and/or external customers over the telephone, in writing and/or in person.
  • Establish, maintain, code, modify, track, and/or retrieve information and compile data, which may require information searches through legal files, contracts, records, microfilm or computer files including customized database applications.
  • Enter, obtain and/or verify information obtained from legal documents, following established, clearly defined methods and court rules.
  • Interview internal and/or external customers, clients and other legal staff to establish program-specific documentation and/or identify services needed.
  • Perform light to moderate numerical calculations.
  • Maintain, inventory, order, collect and distribute supplies and/or equipment.
  • Compose, draft, type and/or word process, proofread and edit legal documents, contracts, and/or correspondence, ensuring correct English and conformity with established procedures.
  • Accurately process mail or legal documents/legal files in a timely manner to meet court mandated deadlines.
  • Select mail to handle personally where the response requires specialized knowledge of the assigned function.
  • Identify priority and/or time-sensitive matters.
  • Maintain security and confidentiality.
  • May schedule meetings and maintain calendars for supervisor and/or organizational unit/program.
  • Maintain, prepare and process documents, which involves a knowledge of legal and regulatory requirements for proper format and content of documents and records.
