About The Position

Provide administrative support to FRAN Family Resource Advocacy Network (FRAN) Center that serves as a community gathering place, collaborative hub for social service partners, and a space that ensures accessible support for navigating social services and self-sufficiency programs. This role provides bilingual (English/Spanish) receptionist services and administrative support to the program staff managing the services at the FRAN center.

Requirements

  • High School Diploma or GED
  • 1 year of office or administrative experience
  • Bilingual (Spanish/English) is required
  • Proficient in computer skills with Microsoft Word and Excel.
  • Customer service techniques.
  • General office and keyboarding skills.
  • Maintain confidential information.
  • Work with all the people in a respectful manner.
  • Complete projects and meet deadlines.
  • Accurate and detailed.
  • Prioritize workload and multi-task.
  • Operate a multi-line phone system.
  • Effectively communicate (written, and orally).

Responsibilities

  • Greets all walk-in customers and staff respectfully and professionally.
  • Answers telephone promptly, respectfully, and professionally. Screens and directs calls; assists caller in locating appropriate staff in a respectful manner. Provides Spanish translation for phone calls and clients.
  • Defuse situations and provide general information to clients on the phone and/or in person; determine need for crisis intervention or immediate attention of the counseling staff and/or the nurse practitioner, and proceed according to proper crisis procedures.
  • Makes and cancels appointments on computer and provides information to customers regarding appointment times.
  • Notifies staff member of visitor/appointment arrival and ensures they receive visitor in a timely manner.
  • Distributes and collects “Customer Satisfaction Survey” forms as requested by Program Directors.
  • Keeps reception, waiting areas, and restrooms neat, tidy and free of clutter.
  • Ensures individual confidentiality at all times.
  • Instruct individuals we serve regarding their right to file grievances.
  • Maintains professional demeanor and behavior; dresses in business casual attire.
  • Ensures supply of intake paperwork is available for multiple programs and resources.
  • Ensures mail is prepared for pickup. Sends all mail, incoming faxes, and miscellaneous items that are received at the reception area to the appropriate staff and/or destination.
  • Takes payments and writes receipts as necessary.
  • Assists with reminder calls as required.
