This is a foundational hire for a brand-new office, meaning you will play a critical role in shaping the client experience and day-to-day operations from the ground up. Requirements

  • Brings prior experience in office administration or reception, with a strong foundation in organization, follow-through, and client-facing support.
  • Fluent in Spanish and English, with the ability to communicate professionally and effectively in both languages.
  • Builds trust with clients through a friendly, professional demeanor and the ability to listen, respond, and guide conversations effectively.
  • Maintains composure and confidence in a fast-paced environment, handling client inquiries and office needs with steady professionalism.
  • Comfortable navigating Microsoft 365, SharePoint, and basic office technology, with the ability to quickly adapt and troubleshoot when needed.

Responsibilities

  • Welcome clients and visitors as the face of the office, while managing all inbound communications with warmth and professionalism.

  • Coordinate appointments and manage calendars with precision, sending timely confirmations and reminders to keep operations running smoothly.
  • Ask thoughtful preliminary questions to understand client needs and ensure they are efficiently routed to the right team member.
  • Keep the office organized and running efficiently by managing supplies, maintaining workspaces, and supporting day-to-day administrative needs.
  • Assist with basic technical issues such as printer or system challenges, helping minimize disruptions and keep the team productive.
  • Serve as a dependable go-to resource in the office, proactively offering solutions and contributing to a positive, team-oriented environment.
