Position Summary Location: Lawrenceville, GA or Oakwood (Gainesville), GA As a Patient Intake Coordinator, you'll be the first voice prospective patients hear and often the first impression they have of NexGen Medical Centers. You'll guide patients through the intake process with professionalism, empathy, and urgency while coordinating with attorneys, referral sources, providers, and internal teams to ensure every patient is scheduled quickly and accurately. This role is ideal for someone who enjoys staying busy, thrives in a high-volume environment, and naturally takes ownership without waiting to be asked.

Requirements

  • 1–2+ years of experience in medical front office, patient access, intake, scheduling, referral coordination, or healthcare call center.
  • Comfortable handling a high volume of inbound and outbound calls.
  • Strong computer skills with EMR/PM systems, Microsoft Outlook, and accurate data entry.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational skills.
  • Reliable, dependable, and accountable.

Nice To Haves

  • Personal injury experience strongly preferred.
  • Experience with attorney communication, Letters of Protection (LOPs), or workers' compensation is a plus.
  • Bilingual (English/Spanish) strongly preferred.

Responsibilities

  • Answer high-volume inbound calls on our New Patient Hotline with professionalism, empathy, and efficiency.
  • Respond promptly to new patient referrals, attorney referrals, web inquiries, and text messages.
  • Collect patient demographics, accident details, insurance information, attorney information, and required documentation.
  • Schedule new patient appointments across multiple providers and clinic locations.
  • Coordinate medical records and communicate with referral sources to obtain missing information.
  • Maintain accurate documentation in our EMR and CRM systems.
  • Keep referral sources informed of scheduling updates and appointment outcomes.
  • Identify and resolve scheduling issues proactively before they become problems.
  • Work collaboratively with Front Desk, Medical Assistants, Case Management, and providers to create a seamless patient experience.
  • Protect patient privacy and maintain HIPAA compliance at all times.
