About The Position

The Bilingual Parish Receptionist will provide receptionist services and clerical support for the parish office. This is a temporary opening until mid-September, as the current receptionist will be on maternity leave. The ideal candidate must be fluent in both English and Spanish (speaking and writing).

Requirements

  • High School diploma or equivalent
  • Minimum of three years' experience as a receptionist in a professional work environment.
  • Basic level of proficiency in the use of Microsoft Office suite of products.
  • General knowledge of the Catholic Church, including Sacraments.
  • Thorough knowledge of modern office practices and procedures, and the use of office machines and equipment; including fax, copiers, and postage machine.
  • Ability to project a courteous, warm, and welcoming, and empathetic image to the public and to all constituents, whether on the telephone or in person.
  • Ability to maintain confidentiality and professional demeanor in all situations.
  • Ability to communicate effectively orally and in writing.
  • Must be fluent in English and Spanish (speaking and writing).

Responsibilities

  • Welcome and direct visitors; answer telephone calls and direct calls appropriately; retrieve and return or route messages; answer routine questions to assist other staff, volunteers, parishioners, and prospective parishioners.
  • Maintain parish census and offering software system.
  • Maintain parish sacramental records.
  • Handle incoming and outgoing mail: sort and distribute mail; prepare bulk mailings and related records; monitor postage meter and ensure refill as needed; prepare items for special deliveries; prepare and run mailing labels as needed.
  • Sell Mass cards and record Mass intentions; maintain records for Mass stipends; order Mass cards as needed.
  • Provide basic secretarial support as requested; type correspondence and prepare for dissemination or mailing.
  • Prepare and send out welcome packets for new parishioners.
  • Receive telephone calls during work hours from individuals requesting health care ministry visits, anointing, or Communion; notify priests, deacon, and/or volunteers on timely basis.
  • Perform other duties as requested or needed.
